Visibility & Accountability in Field Services with Handheld PDAs

I must confess that I am much more of a people person than a numbers person. However, in my role as CEO of MobileDataforce I am accountable for understanding and using a large amount of numerical data. My responsibilities include:
  • Collecting the important business data

  • Analyzing the meaning of the data

  • Reporting the data to my managers, my board and financial institutions

  • Forecasting future growth and business performance based upon the data

  • Improving my business processes to enable better performance in the future

  • Investing in future products and services that will reap rewards in the future

My responsibilities are very similar to many officers and managers of small to medium sized businesses. The key to effective management is having accurate and timely data, understanding the data and making effective business decisions based upon the data.

Let's take a moment to ponder the process of collecting data in the world of field services (mobile service technicians). The field service manager often finds it difficult to collect the data from the point of work in a timely manner. Often the paper forms stay in the truck or van for hours, days or weeks before the data is entered into a computer system. This means the data is unusable for that period of time. The manager has no way of analyzing it. If the entire system is paper based and filed, then the information that is contained on the paper forms is not available for analysis, reporting or quick business decisions.

Mobilizing and automating the field services operations with handheld PDAs enables managers to have near real-time access to business data from work done remotely in the field. 75 service technicians can be synchronzing data throughout the day from a large geographic area and the data can be instantly viewed and analyzed. Decisions can be quickly made about issues such as:

  • Equipment location
  • Service Technician location
  • Job status, job delays
  • Equipment break downs
  • Problem issues
  • Change in schedules
  • Personnel changes
  • Customer issues
  • Payment issues
  • Unforseen technical challenges
  • Unexpected costs
  • Changes in inventory
  • Much more

This is the kind of near real-time data/information that allows a manager to make good decisions that benefit the business TODAY. If managers are always working from data that is days old, they are too late to impact the quality of business today.

Quality Audits & Quality Assurance Using Mobile Handheld PDAs

My team at MobileDataforce is working on a mobile software development project with one of the world's largest consumer packaged goods (CPG) companies. The mobile application is designed to run on handheld PDAs and help the Q&A department improve their visibility into the manufacturing being done in hundreds of different locations around the world. The Q&A department is responsible for the quality and safety of both their employees and customers around the world.

The mobile application allows internal company quality auditors to inspect an operation and synchronize the data to the corporate Q&A database in near-real time. This allows the data from thousands of inspections around the world to be quickly analyzed for trends and problems.

Once the data is collected on mobile devices and synchronized to the corporate Q&A database, business analytic software can be used to understand the data and its impact on quality. Issues can be identified, policies implemented and problems resolved before they grow larger and become a public issue.

Visibility - Mobile Software on PDAs & Handheld Computers

My PSO (professional services organization) team has been assisting several organizations around the world this month on mobile software projects for handheld PDAs with a common theme - visibility. Let me explain:

Managers are often responsible for field work in locations where they are not physically present. They are personally accountable for the work delivered, but often have limited visibility into it. This is ALWAYS a challenge and a big risk.

In the last few days we have been working on mobile solutions that provide the following benefits:
  • Help a large Paintless Dent Repair franchiser track the quality of work through mobile and onsite customer surveys, work orders and inspections
  • Track the shipping and delivery of medicine throughout Africa and South America using mobile handheld computers that synchronize to a central database
  • Help a construction manager document construction projects with inspection software and other applications that help manage many projects in different geographies, log each issue, assign a contractor to fix the work, reinspect and document
  • Help a pharmaceutical company monitor their customers and any change of conditions in the USA and Canada
  • Help a service company track their work orders, the time each service ticket takes to resolve, and the location of every service technician
  • Help a shuttle service dispatch vans and track pick-ups and deliveries

Each of these examples demonstrate how companies that have work locations distributed over wide geographic areas can have better visibility into the work being done in the field.

Here are some of the tools that mobile handheld computers provide to help remote managers better track the work:

  • GPS - vehicle and technician tracking
  • Date and time stamps integrated with GPS to show the time a vehicle or technician was at a specific location
  • GPS/Date & Time Stamp/Connected to Work Order or service ticket to provide evidence of work completed at a location and time
  • Onsite customer survey - get real-time customer feedback on the quality of work performed so issues can be resolved immediately
  • Digital images of before, during and after work performed. Photographic evidence associated with digital signatures, customer feedback and GPS coordinates are powerful tools for remote managers
  • Inspections - upload and synchronize inspection data to the remote manager. The remote manager can then assign people/organizations to fix issues discovered on the inspection and monitor the repairs. This enables remote managers to effectively have "eyes and ears" at the jobsite and manage resolutions.

In summary, the collection of field data through human input on mobile handheld computers, plus technology like GPS, digital photography, mobile synchronization, digital signatures, mobile forms and shared websites to show real-time reports enable talented and experienced managers to effectively manage their areas of responsibilities remotely. This reduces risk, promotes field accountability, quality work and peace of mind for the managers and their companies. The ability to use and scale the talent and experience of your best managers over more projects located in more areas is a huge asset.

These are the kinds of mobile solutions MobileDataforce helps companies design, develop, deploy and support worldwide every day. If you would like to brainstorm about how a mobile solution might help your project or company please email us or call 208-384-1200.

Mobile Handheld PDAs for Scaffold Inspections & More

MobileDataforce has recently been working with a construction company to design a complete mobile software application for use on handheld PDAs for managing scaffolding construction and inspections. They selected a a Symbol MC9090 ruggedized handheld computer to use on the job.

I was surprised by how much work is involved with the construction, asset tracking and safety inspections on scaffolding.

Here is just an overview of the main menu of the mobile software application:

Users will choose from the six menu items:

  1. Scaffold Manager allows the user to erect, dismantle and revise scaffolds from the mobile device.
  2. Inspection Checklist allows the QA person to perform daily inspections.
  3. Work package will let users choose from predefined scaffold packages and sub-packages that include estimates of crew needed as well as duration times for erection and dismantle. Dismantle times are only an estimate and no work order will be supplied for dismantling scaffolding. (these work packages will be supplied by client prior to development of the application)
  4. Repair List is where the repair person will go to look at all the repairs for a given Tag number.
  5. Synchronize will let the user send and receive data at any time.
  6. Loss list is where the estimates of material and the actual materials are compiled to show a realistic view of the jobs.

Case Study: Underground Storage Tank Inspections Using Mobile Handheld PDAs

The EPA (Environmental Protection Agency) is a national government agency responsible for creating and enforcing regulations that help keep the environment clean and protected. One of the responsibilities of the EPA is the inspection and auditing of underground storage tanks.

There are large numbers of underground storage tanks in nearly every community across the USA which represents a huge data collection and administration task. Regional entities throughout the country are responsible for providing underground storage tank inspections; one such entity is the Shoshone Bannock Tribe. The inspection data, traditionally collected in the field using a paper inspection form, was typed into an EPA database upon returning to the home office. The Shoshone Bannock Tribe needed a way to ensure the integrity of the data collected, speed up collection time, eliminate data entry time, and provide near real-time synchronization of the data collected.

MobileDataforce developed a mobile inspection application for use on Tablet PCs that integrates all required EPA data collection elements for underground storage tanks. The solution includes the PointSync Mobility Platform from MobileDataforce to synchronize the data from the mobile device into the central database in the office. The Tablet PC selected by the Shoshone Bannock Tribe was the Itronix GoBook Duo Touch using Microsoft’s Tablet XP operating system. At the end of an inspection, the device was placed in a USB connected wired cradle which connected to a database on a server. The data was then uploaded and submitted to the EPA.

By using a mobile application rather than paper forms, organizations can:

· Save administrative data entry time
· Wirelessly synchronize from the field
· Save fuel costs and driving time delivering paper forms
· Save shipping and storage costs for paper forms
· Provide near real-time visibility to inspections in the field
· Ensure data accuracy through the use of data validation features

MobileDataforce used an enterprise class mobile software platform called the PointSync Mobility Platform to create the mobile EPA Tank Inspection application. The application was built to their exact specifications and complies with EPA regulations for underground storage tank inspections.

PointSync Mobility Platform is an enterprise class mobile software platform used to rapidly design, develop, and deploy critical business mobile applications. It is architected to provide database centric mobile applications with bi-directional synchronization, connectivity, security, and enterprise database integration all within one product suite.

The Shoshone Bannock Tribe was able to save time and money through the use of a custom mobile application created by MobileDataforce using the PointSync Mobility Platform. By developing a mobile application, Shoshone Bannock was able to streamline inspections, while at the same time saving paper, data entry time, and money. The EPA was able to quickly and efficiently receive data on the condition of underground storage tanks. MobileDataforce has assisted many organizations around the world design, develop and deploy mobile applications for field data collection. Educational Video on Enterprise Mobility and Field Services Using Handheld PDAs

This week I had an interesting experience participating in a 60 minute educational video on trends in enterprise mobility and field services. It will be available for viewing on April 30th. The video has interviews with Psion Teklogix's President of the Americas, Ron Cains and myself.

MDF_invite_April2008.htm

It was an interesting experience. This was no amateur video. We had a crew that consisted of 2 cameramen, a sound guy, a make-up person, a producer and director. They were so professional that they even had those fluffy microphone covers.

The subject of the video is all aspects of mobile handhelds, smartphones, PDAs and mobile software applications.

World Travels and Trends in Mobile Software for Handheld PDAs

Greetings All,

I have been spending a lot of time at airports of late. Over the last few weeks I have travelled to San Francisco, England, Washington DC and today Cincinnati, Ohio. I have also learned a great deal. One of the things I have learned - The economy has not as yet negatively impacted MobileDataforce. Our sales were up 200% from first quarter 2007. The Wall Street Journal said last week that the economy does not yet seem to be significantly impacting most B2B sales. I must agree. Our customers are still buying mobile software for handheld PDAs and services in record numbers.

In England, we are working with a large number of services companies. It seems that most of our projects are related to asset management. By assets, I mean equipment, buildings and vehicles.

It may be that the reason service companies are buying from MobileDataforce in large numbers is to achieve the very efficiencies that a tough market requires.

Mobile Handheld PDA Case Study: Utility Inspections, GPS and Field Data Collection

Company Overview:

LYNN-EDWARD Professional Services, Inc. (LEPService) delivers a full range of metering, SCADA and communications services to the utility industry. Based in Covington, Georgia, LEPService has served the utility industry throughout the Southeast since 1990, and is rapidly expanding into other geographic regions.

Research Challenge:

LEPService needed a mobile software solution that could efficiently track the installation and service of load management devices. The mobile software solution would enable the utilization of GIS mapping to effectively identify switch locations. A key requirement of the project was that it be designed modularly so that additional utility inspections could be added at a future date to cover their vast service offerings.

MobileDataforce Solution:

The initial mobile handheld software application developed for LEPService was for the tracking of load management devices. The application was initially designed to work on the Itronix Tablet PC running Windows Tablet PC Edition. The Tablet PC device was chosen over a rugged handheld computer to work with Delorme’s XMAP 4.5 GIS mapping software which required larger screen dimensions for GIS maps. Additional applications were developed that did not require GIS mapping, which made the less expensive and more compact Symbol MC70 PDA a better fit.

The professional services team at MobileDataforce developed a mobile software solution that combined the strengths of Delorme XMAP mapping features with PointSync’s mobile data collection features. The mobile solution leverages Delorme’s XMAP mapping features to allow a technician to search for locations based on Atlas Page, Grid, Street Name and Account Number. The PointSync Mobile application was designed to capture and view all inspection data related to utility load management switches and equipment at those specific locations including GPS data.

By using mobile software applications rather than paper forms, LEPService was able to:

Collect field data electronically
Synchronize the data directly from the Tablet PC and handheld devices to a central database
Reduce data entry time
Verify GPS data in both the PointSync and Delorme Systems
Ensure data accuracy through the use of data validation features in PointSync
Provide a foundation to add additional mobile inspection applications

By selecting MobileDataforce’s PointSync Mobility Platform and professional services, LEPService obtained a powerful and flexible enterprise quality mobility platform. They also were provided a team of experienced mobility experts to create and support their software application. MobileDataforce enabled LEPService to build upon their first mobile application using PointSync development tools and extend the capabilities of the application over time to include many new features.

“MobileDataforce has been spectacular to work with” said Mike Aiello Jr. President of LEPService. “PointSync has enabled our company to truly offer a superior product and improve our field service inspection services to our customers”. He further added, “The exceptional reliability and stability of PointSync Server platform has been exceptional. In over two years of full deployment, we have not had a single lost day of productivity due to software systems related issues. There have literally been none.”

About PointSync Mobility Platform:

PointSync Mobility Platform is an enterprise class mobile software platform used to rapidly design, develop, and deploy critical business mobile applications. It is architected to provide database centric mobile applications with bi-directional synchronization, connectivity, security, and enterprise database integration all within one product suite.

13. Is the business unit who is funding the project willing to cover the additional development costs if the project takes 50% longer than anticipated?
14. Is the IT development staff willing to dedicate personnel to this project for the entire project duration or will they be needed elsewhere?
15. Are your software developers mobile application security experts?
16. Do you have database integration experts available for this project?
17. What are the time-to-market requirements? Are you losing business or money by not having the mobile application done?
18. Who will support the mobile application after the original developers leave the company? Can you afford to cross-train a team of developers?
19. Mobile software solutions need custom business rules added. Is the framework and standardized methodology for implementing these business rules in place?
20. Which business unit will pay to update the mobile application next year when the available handheld devices require an OS upgrade and changes to the application? Is this in the business unit’s budget plans?
21. What database is integrated with the mobile software application? Is the DBA (database administrator) supportive of this integration? Will they cooperate with the project developers?
22. What synchronization technology will be used? Is that in the budget? Who will attend training classes to understand it? Are the training classes in the budget?
23. Do you know how to connect to the enterprise database remotely from the field?
24. Do you know how to develop mobile printing support using Bluetooth enabled mobile printers? Will you support just one kind of mobile printer or many different brands?
25. Do you know how to validate data and ensure data accuracy on the mobile application? Database Administrators demand this.
26. Do you know what ultra fast and ultra small relational database you will use on the handheld computer?
27. Do you need to develop your application to work on laptops, Tablet PCs and handheld computers? If so, how will you cater to these needs?
28. What connectivity options will you need to develop (i.e. Bluetooth, WiFi, GSM, cradle sync)? Do you have software developers that are proficient with all of these technologies?
29. Will you develop your own synchronization technology or buy from a vendor? Which vendor?
30. Do you know how to develop for and support hardware add-ons such as bar code scanners, RFID readers, GPS, digital cameras, and mobile printers? Do you know all the different hardware add-ons required in the field? Which brands and SDKs will you use?
31. How will you glue all these components together in your application so it all works and can be supported by the helpdesk? Who do you trust to create this enterprise application architecture?
32. How will you support different mobile devices, and different versions of mobile operating systems?

These issues must be considered in preparation for developing an enterprise class mobile application for use on mobile handheld PDAs, and also when preparing the project plan and budget. Enthusiastic software engineers with a passion for learning new mobile technologies will advocate the development of a mobile solution internally. These engineers do not always consider the necessary skills, experience, budget and time in development and support that are required.

Questions to Ponder when Considering a Mobile Software Strategy

  1. Should you purchase mobile software for handheld PDAs from every vendor that supplies enterprise software applications to your company? What if you have 16 enterprise applications? Are you willing to buy 16 different mobile software packages for handheld PDAs in order to mobilize these processes? If so, you will need a very big budget and IT department. If you chose to buy 16 different mobile applications, you would need to punch 16 different holes in your firewall, learn 16 different synchronization technologies, and use 16 different application development environments.
  2. Should I buy an "Off-the-Shelf" mobile application, or develop a customized mobile application to fit my specific business? The answer depends on if your business is set-up as an "off-the-shelf" business. Do you conduct your business in the exact same manner as many others in your market? Do you use the same business processes and the same accounting package as many others? Is your product or service company managed in the same manner as others in your market? Are there mobile applications already available that will do all this for you in a cost effective manner?

MobileDataforce has an entire department filled with mobility experts. We get asked these kinds of questions every day of the week. If you have questions on mobile software strategies, please contact us or visit our website.

Best Places to Live and Launch - A Mobile Software Company

For those of you interested in articles about best places to live and start a business >

CNN's website covered the best places to live and launch this week. Boise, Idaho was listed at #19, we were #2 on Forbe's list last month. Fortune Magazine's Small Business Edition also published an article this week on MobileDataforce and Boise's quality of life.
MobileDatafore develops mobile software solutions for PDAs, iPhones, handhelds and Smartphones.

Buy vs. Building Mobile Software Applications for Handheld PDAs

Several times a month companies call me to discuss the merits of buying a mobile software platform , to develop software for mobile handheld PDAs, with a development environment vs. attempting to build their own. My first answer is you can build it! MobileDataforce did. It tooks us 4.5 years and over 40 engineering-man-years to develop the PointSync Mobility Platform. It can certainly be done by others. The key questions are:
  1. How much time do you have to develop the mobile software application?
  2. How many software engineers do you have available to develop the mobile application?
  3. Do they have any experience designing, developing and deploying enterprise quality mobile applications?
  4. What is your development budget?
  5. It is hard to develop your very first mobile application...are you patient...is the business unit sponsoring the project patient?
  6. Are your software developers mobile application security experts?
  7. Do you have software developers that eat, sleep and breath synchronization?
  8. What are the time to market requirements. Are you losing business or money by not having the mobile application done?
  9. Who is going to support the mobile application after the original developers leave the company?
  10. Who is going to document the mobile application and know how it works?
  11. Who will pay to update the mobile application next year when the available handheld devices require an OS upgrade and changes to the application?

Again, any smart group of software engineers can, given enough time and budget, develop a working mobile application. The real questions - is this your core business and is this the best use of your time and budget? Especially since a relatively low cost mobile software platform and development environment already exists and can be purchased and downloaded in an afternoon.

Mobile Applications, Handhelds and PDAs and Hog Feeding

Last month I watched an episode of "Dirty Jobs" that was about a pig farmer outside of Las Vegas that fed his pigs the food scraps from area casinos. I admit this is one of my favorite shows on TV now days, and this was one of my favorite episodes. The pig farmer had a great sense of humor and Mike Rowe got completely covered in food scraps and slop. How does this relate to mobile software applications, handhelds and PDAs? We received a call yesterday from a company wanting to implement a mobile handheld PDA software application for the drivers of trucks hauling food scraps to hog farms. Imagine my excitement!!! They wanted to integrate GPS data capture into the handheld software applications so they could track the location and status of each truck. My mobile software developers were all over this...like a pig at a......

EPA Underground Inspection Forms for use on Mobile Handheld PDAs

MobileDataforce has just finished developing a mobilized version of the EPA's (environmental protection agency) underground tank inspection form for use on tablet pcs. This same mobiel software application could also be used on a mobile handheld PDA. This mobile software application was developed for a region in the state of Washington.

This mobile inspection application has over 400 data fields and allows the underground tank inspector to draw diagrams in the application and to wireless synchronize the inspection data and drawing back to a database in the office.

This mobile software application was developed for a Tablet PC, which was the customer's preference because of the large numbers of data fields and desire to draw diagrams depicting problem areas identified during inspections.

MobileDataforce mobilizes paper forms daily. We help our customers convert their paper processes to mobile software applications that can synchronize to office database application or accounting systems remotely from the field. We support rugged mobile handheld computers, Tablet PCs and laptops.

MobileDataforce can quickly convert paper forms to mobile software applications by using the mobile development environment called the PointSync Mobility Platform.

Mobile Handheld PDA - Socket Mobile Announces Antibacterial Handheld Computer

OK, I must admit that I had not considered the fact that I was buying a mobile handheld PDA infected with bacteria. I guess ignorance is bliss. However, now that I know I can buy a handheld computer that is an "Antibacterial Handheld Computer" I will no longer have bliss.

In the past I just wanted a nice, fast and dependable handheld computer with a good screen and lots of memory. However, going forward I will add to my list of wants a handheld computer that includes - antibacterial additives that gradually releases microbe-fighting metal ions upon becoming moist or wet.

Socket Communications, Inc., dba Socket Mobile, Inc., an innovative provider of mobile productivity solutions, recently announced a new line of products to be built with an antibacterial plastic targeted toward healthcare and other markets that involve hygiene-sensitive environments. The first product combination to debut in the new line is the SoMo 650 handheld computer and docking cradle, which will be on display at the Healthcare Information and Management Systems Society (HIMSS) annual conference and exhibition in the Socket Mobile booth #1312. SoMo 650 handheld computer product demonstrations will also be taking place in the Cisco booth #6251 in conjunction with its recently attained Cisco Compatible Extensions (CCX) 4.0 certification.

"Calls for patient safety to drive health IT investments is among the top 10 issues facing the healthcare industry today," said Bob Zink, vice president of worldwide sales and marketing at Socket Mobile. "As more mobile devices make their way into sterile environments, it is important to take into consideration the effect that will have on patient safety. Our focus on and dedication to the healthcare industry has driven us to build an antibacterial product line to assist in the industry's efforts to make patient safety first and foremost in order of priority."

The new antibacterial product line incorporates the use of an antibacterial additive that gradually releases microbe-fighting metal ions upon becoming moist or wet. In conjunction with the traditional cleaning and sterilization procedures used on similar data collection equipment in the healthcare and hospitality industries, devices built with antibacterial plastic provide an additional layer of protection against the multiplication and spread of potentially harmful bacteria and microbes, giving organizations the opportunity to enhance the safety of medical staff, patients, workers and visitors. In addition, the antibacterial plastic reduces, or in many cases eliminates, the need for and dependence on protective skins or shells that can become expensive over time as a consumable-type accessory.

Make More Sales by Using Mobile Handheld PDAs and Smartphones

I often talk to potential customers about the cost savings that can be achieved by mobilizing business processes and deploying them to mobile handheld PDAs or smartphones, however, for many of our customers increasing sales is also a key motivator. Let's talk about how mobile software applications on PDAs can help increase sales:
  • Mobile applications can prompt service technicians to renew service contracts
  • Mobile applications can prompt service technicians to offer additional and complimentary services. For example: Plumbers can offer to conduct a water conservation inspection in the house while they are there repairing the toilet. The inspection can identify various ways the customer could conserve water by replacing shower heads, toilet tanks, etc.
  • Mobile applications can prompt service technician to offer products related to the needs of the customer. Plumbers could talk to customers about water filtration systems, and other products.
  • Mobile applications can prompt service technicians to sell extended product warranties
  • Mobile applications can prompt service technicians to identify various service and product needs that were noted while on site with the customer. This information can be shared with the sales team for follow-up.

These are just a few examples of how mobile software applications on handheld PDAs and smartphones can intelligently remind and prompt field service technicians to help increase the sales of products and services.

MobileDataforce provides a wide range of both mobile software applications and custom mobile software development services.

Handheld PDA Research Tools in the Emergency Department

MobileDataforce is working on many mobile healthcare related projects these days. One of our customers forwarded the following article to me yesterday. It shows objective data on the value and benefit of using handheld mobile devices for data collection.

Prospective, randomized evaluation of a personal digital assistant-based research tool in the emergency department

BMC Medical Informatics and Decision Making 2008, 8:3doi:10.1186/1472-6947-8-3

Published:
18 January 2008
Abstract (provisional)

Background
Personal digital assistants (PDA) offer putative advantages over paper for collecting research data. However, there are no data prospectively comparing PDA and paper in the emergency department. The aim of this study was to prospectively compare the performance of PDA and paper enrollment instruments with respect to time required and errors generated.
Methods

We randomized consecutive patients enrolled in an ongoing prospective study to having their data recorded either on a PDA or a paper data collection instrument. For each method, we recorded the total time required for enrollment, and the time required for manual transcription (paper) onto a computer database. We compared data error rates by examining missing data, nonsensical data, and errors made during the transcription of paper forms. Statistical comparisons were performed by Kruskal-Wallis and Poisson regression analyses for time and errors, respectively.

Results
We enrolled 68 patients (37 PDA, 31 paper). Two of 31 paper forms were not available for analysis. Total data gathering times, inclusive of transcription, were significantly less for PDA (6:13 min per patient) compared to paper (9:12 min per patient; p<0.001). color="#006600">Conclusions
Using a PDA-based data collection instrument for clinical research reduces the time required for data gathering and significantly improves data integrity.

Clinical Research Projects and Mobile Handheld PDA Solutions

This article discusses the use of mobile handheld PDA solutions (Palm Treos) in a clinical research environment.

Company Overview:
Craig Hospital is a non-profit spinal cord and brain trauma rehabilitation and research hospital. Based in Denver Colorado, Craig Hospital has been treating brain and spinal cord trauma patients since 1956 and has treated over 25,500 patients.

Research Challenge:
Craig Hospital recently received a government grant to perform research on 8 different forms of rehabilitation in order to understand what techniques are most effective for each of the 8 disciplines. Craig Hospital teamed up with 5 other research hospitals (Rehabilitation Institute of Chicago, Shepherd Center, Mount Sinai, Carolinas Rehabilitation, and the National Rehabilitation Hospital) in order to make the findings representative of spinal cord injury rehabilitation practices nationwide. The data needed to be collected and sent to a main database at an outside location to be analyzed. ISIS/ICOR (International Severity Information Services/Institute for Clinical Outcomes Research) was the organization selected to perform the data analysis and to maintain the database to which all collected information was to be sent. The problem was that the hospitals and patients were all in different geographic locations, and the patient care happened in a mobile working environment which made the collection and secure synchronization of the research data to a central database a challenge.

MobileDataforce Solution:
MobileDataforce created a mobile handheld application for each of the 8 different types of rehabilitation. Each healthcare provider was issued a handheld HP iPAQ HX 2190 PDA running Microsoft’s Windows Mobile operating system and asked to record rehabilitation progress with each of their patients in the study. There were approximately 250 mobile devices across the 6 hospitals.

By using a mobile software application rather than using paper forms Craig Hospital was able to:

  • Save data entry time
  • Save the costs of shipping and storing paper forms
  • Ensure data accuracy through the use of data validation features
  • Pre-load patients’ names and information onto the mobile device to save time and ensure accuracy
  • Speed up research and analysis by downloading data directly from the handheld devices to the central research database

By selecting MobileDataforce’s PointSync Mobility Platform and professional services, Craig Hospital obtained a complete enterprise mobility platform and an experienced mobile software development team. MobileDataforce developed 8 mobile clinical research software applications that allowed for the 6 hospitals to capture information quickly, in real time, from all across the United States and synchronized it into one central research database. This allowed for research and analysis to be conducted on the data in near-real time.

MobileDataforce implemented software security features to ensure patient privacy and compliance to industry rules. MobileDataforce also helped Craig Hospital select the appropriate mobile handheld devices for their data collection requirements.

Conclusion:
Craig hospital was able to collect research data on 8 different rehabilitation disciplines from 6 different hospitals across the country and synchronize the data into one centralized database using the PointSync Mobility Platform from MobileDataforce, http://www.mobiledataforce.com/. Craig Hospital saved time and ensured data accuracy by designing a custom mobile application for clinical research with the help of MobileDataforce. Global Warming & Mobile Handheld PDAs

MobileDataforce is seeing more and greater effects from global warming and energy issues on our business. In our case, the effects are positive for our business. We have a growing reputation as a preferred provider of mobile solutions for large services companies that work on utility and government contracts. My mobility experts in our professional services organization can quickly and cost effectively deliver just about any custom mobile software application that is required by utilities and government agencies. Here are some examples of current projects we are working on that are related to global warming and energy issues:
  • Energy efficiency inspection and service ticket applications for utilities
  • Water efficiency inspection applications and service ticket applications
  • Disaster & Damage inspection and repair estimate applications
  • Public housing inspections in the Benelux
  • Housing Inspections in the UK
  • Canyon County Building Inspection application

Many of these projects are motivated by the need to conserve energy. In the case of both the mobile energy efficiency and water efficiency applications the purpose is to reduce the use of these two scarce resources.

The building applications and housing inspection applications are focused on compliance with government regulations. These include energy efficiency levels and environmentally sound practices.

We are asked more and more to help with inspection applications that can be used to quickly estimate damage from storms and bad weather.

Our customers are generally the company that is contracted to provide these services. Since these projects are often won through a competitive bid process, each service company is seeking ways to be more efficient so they can provide more services for less and keep a satisfactory profit margin.

Chain of Custody Applications & Mobile Handheld PDAs

MobileDataforce is currently working on a very important mobile software project for implementation in Africa using mobile handheld PDAs. It involves the transportation and delivery of AIDs medicine and other critical healthcare tests and materials. The project enables the organization to track and validate that the medicine that is intended for a specific location actually arrives at that location. In one of the most recent mobility projects we delivered - the transportation of the medicine required a total of 8 signatures to be captured at the various supply depots along the way. These signatures were from the individuals accountable for verifying the correct medicine, in the correct amounts had arrived and been forwarded.

The organizations responsible for transporting and delivering the medicine is looking at standard consumer grade PDA phones using Microsoft's Windows Mobile OS. They will wirelessly sync the chain-of-custody information back to a database in North America for accountability and auditing.

Mobile Software Applications for Handheld PDAs in Africa

Who would have thought it? MobileDataforce is working on a long list of very large mobile software application projects in Africa. In my original business plan for MobileDataforce, I must admit that the continent of African did not play a significant role in my 5 year plan.

Much of our work in Africa revolves around developing mobile software for PDAs on government projects, water delivery, medicine delivery, logistics and inspections. A lot of these projects originate in Europe or North America but extend to Africa.
The mobile software application industry is certainly very exciting and ever changing. It is fasinating how new opportunities pop-up in unexpected industries and geographies on nearly a daily basis.

This is Not the Way to Mobilize Work Orders for Handheld PDAs

I was in Starbuck's on friday. I must confess this is not out of the ordinary for fridays, nor any other day, but I witnessed an event that was. Two service technicians were sitting at a table reading a work order on their mobile phone screen. This phone had about a 1" x 1" screen. They squinted at the screen and then filled our a paper work order on a clipboard. This is certainly one way of mobilize field service technicians, but I would recommend some better ways, and different mobile handheld PDAs or smartphones.

  1. Provide a service technician with a full work order on a mobile device that has a big enough screeen to read. I can still see both service technicians squinting at their tiny screens over their mochas.

  2. Don't make them rewrite the work order. Use a mobile work order software application on the handheld mobile device. Let them read the service ticket, fill it out, and sign the screen.

  3. Don't use a paper work order. Wirelessly send new and completed work orders back and forth wirelessly. There is no need for paper.

  4. Track inventory on the mobile work order application so inventory levels are automatically deducted when parts are used.

  5. Let service technicians view their schedules on the mobile device.

  6. Let service technicians view the status of ordered parts on the mobile device

  7. Track time on various projects using the mobile device. Compare actual time with estimated time.

  8. Complete job estimates on the handheld mobile devices and wirelessly send back to the office

  9. Dispatch new work orders directly to the mobile handheld device

There are many more reasons to mobilize field service operations. MobileDataforce has been helping companies mobilize their businesses since 2000 and deploying powerful work order software applications for use on mobile handheld PDAs.

Managing Remote Locations & Franchises with Handheld PDAs

One of my marketing team members, Matt Jantz, has been working with a number of franchise companies that are interested in mobile handheld PDA solutions. He compiled the following list of reasons why a company with franchises or remote locations may want to mobilize their business processes.

  1. Streamline business process with immediate data transference from handheld devices to main office

  2. Save money, administration costs and time by going paperless

  3. Ensure business processes are being carried out correctly by franchisees and their employees

  4. Protect franchise name and reputation by ensuring processes are being completed to franchise standards

  5. Improve time and cost efficiencies by eliminating data interpretation and entry into home database

  6. Improve customer service by providing customers with prompt billing and service information

  7. Receive payment for service faster by getting payment on site (mobile credit card processing and or using mobile printers) or sending customer invoices and billing faster

  8. Ensure that employees are recording necessary customer and job information correctly on site with the use of data integrity features: data will not be sent to home office until required fields are complete

  9. Track sales at every location to ensure the franchising company gets their agreed upon percentage of sales from franchisees

  10. Ensure delivery and receipt of equipment and supplies by tracking them from origin to final destination

  11. Use handheld devices for onsite reference and training to help new associates learn the process and maintain the franchise reputation

  12. Allow field technicians to locate parts necessary for given jobs, retrieve pricing information, and provide accurate repair estimates

  13. Gain a technological competitive advantage over competition, which can be leveraged to smite competition and retain franchisees

MobileDataforce has delivered many world class mobile solutions for companies that have franchise models.

Handheld PDAs - More than Data Collection Devices

When some people think about replacing paper forms with handheld PDAs or smartphones - they are only thinking about collecting data and sending it wirelessly back to the office. However, simply collecting, storing and moving data would be a missuse of a powerful handheld PDA or rugged handheld. A computer should compute. By that I mean - a handheld computer should analyze the data collected and take action based upon the data. Here is an example:

Your house is on fire. You can take out a handheld PDA and enter data that says, "my house is on fire," and store it as the house collaspes around you, or you can program your handheld PDA to automatically call 911, turn on the sprinklers, call your work to report you will be in late, order new carpets and cancel the evening poker game, and provide a damage estimate.

OK - so that is a silly example but the point is a handheld computer can analyze the data you enter, and be programmed to take action. Handheld computers should do the following:

  • Allow you to enter information/data

  • Store it

  • Synchronize it with a distant software application

  • Take action based upon the information

  • Alert people or other computers about the data

  • Analyze the data and make predictions

  • Activate other computer programs to take action

  • Decrease inventory numbers

  • Close work orders

  • Enter a new customer order

  • Replace inventory with a new order

  • Track packages

  • Call your customers

  • Reschedule an appointment

  • Estimate the closest service technician

  • Predict the fastest route to drive

  • Analyze the accuracy of job estimates

  • Conduct time tracking

  • Copy and send the data to multiple destination

  • Perform mathmatical computations and take action based upon the result

  • Activate mechanical equipment to take action based upon the information

  • Turn on and off electronics

All of these actions can be programmed to take place based upon the data you enter into a handheld computer. At MobileDataforce we work with customers on these kinds of issues daily.

Growing a Business Using Mobile Handheld PDAs

One of the major reasons small service companies call MobileDataforce is to investigate our mobile field service solutions for use on mobile handheld PDAs and smartphones and to try to understand how they can grow their business without adding additional administration resources and costs. This is the age old problem of how do you grow beyond the capabilities of the immediate owner/manager. The answer is to automate the business processes that are related to field services.
  1. Use wireless dispatching of service orders

  2. Synchronize completed service orders directly to the office accounting system

  3. Accept digital signatures on service orders completed in the field

  4. Use a mobile printer to print completed work orders

  5. Use time tracking on the handheld computer to monitor the time spent on each job

  6. Track inventory used on the handheld computer and have this information synchronized to the office so all parts and equipment usage is tracked

  7. Include a customer survey on the handheld device and associate the survey with each work order

  8. The handheld computer can remind the service technician to upsell warranties, maintenance programs and new upgraded equipment sales

Energy Efficiency & Handheld PDAs and Mobile Software Solutions

Our team in the UK has been working on various large mobile energy and water efficiency inspection applications for the last year. MobileDataforce is now being approached in the USA by a number of electrical and water utilities seeking our help developing mobile software applications that can be used for home inspections to determine where both electricity and water can be saved.
Yesterday, I received a flyer from our local electrical utility asking for homeowners to subscribe to a service that allows the electrical utility to inspect their air conditioning units, and then apply a piece of monitoring equipment that allows the utility to regulate the use of the unit during peak times in the summer. I am not necessarily comfortable with a outside entity running my air conditioning unit from a distance, but I understand their need to start taking steps to better manage the use of electricity for conservation purposes.
The bottom line - they need MobileDataforce's mobile handheld inspection software for energy efficiency inspections, and our mobile work order software for dispatching field service technicians. We have a lot of experience in this area and it provides a great service to our communities.

Mobile Solutions for Handheld PDAs and Tablet PCs in China

Two of our PSO (professional services organization) team members returned on Saturday from a 10 day trip to China where they were working on a mobile software project for Quality Assurance and Reporting. The quality of the manufacturing is very important to the buyer in the USA, so having good inspection software and reports are required to be gathered at the point of manufacturing in China and the data is sent around the world for review and storage in California. The mobile software applications can be configured to work on mobile handheld PDAs or Tablet PCs.
This is a very complex mobile solution, one of the most challenging we have implemented, but the satisfaction of having safeguarded products used by millions is worth it.
This is just one example of the many large international mobile software projects MobileDataforce is currently working on to mobilize various business processes for our enterprise customers.

Chain of Custody with MobileDataforce's Mobile Handheld PDA Software Solutions

Our professional services team has just completed a very powerful mobile software application for, use on handheld PDAs, that provides a "chain-of-custody" solution for delivering medicine primarily to African and South American locations. The specific application that we just delivered tracks the delivery of AIDs medicine from the warehouse to the clinic.

One of the big challenges faced by organizations providing medicine to remote areas, is to make sure that the medicine purchased and shipped actually arrives at the designated location. The application we just delivered includes functionality that validates that the medicine, in the appropriate quantities, arrives at 8 specific locations along the shipping route and is confirmed with digital signatures from valid signers.

The distance, environmental challenges and lack of infrastructure often mean that mobile software solutions are the best option for tracking supplies around the world. MobileDataforce is working on many such solutions today.

Mobile Handheld PDAs, Politics & Barack Obama

Politics & Windows Mobile Software Applications

One of my Product Managers created a mobile software application last week for the campaign team that works for presidential candidate Barack Obama. It was designed to help caucus participants quickly compute a caucus strategy during the dynamic events of the night. This is a first for me. I have never seen a custom mobile software application designed to help define and develop a political strategy in real time. Good job Tim!

How is this possible you might ask - he developed it using MobileDataforce's PointSync Mobility Platform. Using a rapid application development platform like PointSync, you can quickly create all kinds of interesting mobile software applications that you can run on your PDAs and PDA phones.

Mobile Mobile Water Bottle Delivery Solution on Handheld PDAs

My team is working on a mobile water bottle delivery solution for use on handheld PDAs for a Portuguese company that delivers water in Africa. The mobile software solution includes the following:
  • Route delivery information
  • Barcode scanning
  • Mobile Inventory of water/water bottles
  • Delivery details
  • Mileage of vehicle
  • Mobile printer and printing support

MobileDataforce is delivering an increasing number of these kinds of mobile route delivery applications for both handheld PDAs and handheld barcode scanners. If a company is currently using paper, the ROI is very easy to document. Not only can the basic business processes associated with deliveries be mobilized, but CRM information, competitive data collection, new order processes, service details, etc., can all be mobilized using the same mobile software platform and the same handheld computer.

12 Steps to a Successful Mobile Software Deployment on Handheld PDAs

Companies around the globe are looking for ways to do more with less. Many recognize that their mobile workforce is being managed inefficiently and extending business process automation to mobile field workers using handheld PDAs is becoming a priority. The following 12 steps identify how you can get started automating and mobilizing these business processes for use on handhelds.

Step 1 – Understand the ROI/Scope of the Project and Plan Ahead

What are some of the key challenges with a mobile software development project? Many companies don’t put enough thought into what they need, and what the anticipated ROI will be. Others don’t assign and schedule testing resources. Some finish the development but have no deployment strategy. Still others buy incompatible handheld PDAs before they start development and find out they don’t meet the requirements of the field user. The results of these deficiencies are project scope creep, cost overruns, missed deadlines and dissatisfied end users.

Step 2 – Build a Team and Include the Field User

Make sure the members of your team have the right roles and responsibilities to help the mobility project succeed. Mobile solutions usually tie into other corporate IT assets and business processes, therefore impact other IT departments and business units. In addition, a representative mobile field worker(s) should be included on the project team to provide valuable “real-world” insight.

Step 3 – Select the Right Mobile Solution and Advisers

Performing successful data synchronization from mobile computing devices can be a challenging and complex task. There are many variables that can determine the success of a mobile development project. Make sure you have experienced mobility experts to advise you and select a proven mobile middleware solution as the foundation for your solution.

Step 4 – Know Your Target Users and Their Environment

During the planning and scoping phase of your mobile project, take the time to experience the working environment of your mobile field workers and observe the business processes in action. Focus on how the information is collected and exchanged between the office and the mobile workers. These observations can significantly impact the design, development and deployment of a successful project! Evaluate the physical environment of the work. How do moist, cold and dirty environments impact the mobile devices? How does low light or bright sunlight affect visibility of the screen? Can workers read the small text on the PDA screen, or does the text need to be larger?

Step 5 – Decide Who will Develop the Mobile Solution

Do you have an IT department with software developers that are available for a new development project? Do they have experience developing custom mobile software solutions? Are they knowledgeable with mobile data synchronization issues? Will they be able to dedicate the time to finishing the application in the necessary time frame? Do you have the risk tolerance for letting an inexperienced internal development team attempt the project, or is the ROI sufficient to justify contracting with mobility experts to develop the custom application?

Step 6 – Do You Start with a Mobile Software Platform or Build from Scratch?

Do you start developing your mobile software project with a blank computer screen, or do you start with a packaged mobile middleware solution that has a development environment included like the PointSync Mobility Platform from MobileDataforce? Again, your success is heavily reliant on your expertise in custom mobile application design and development. If you have experience developing mobile middleware applications and custom mobile software applications, then using a packaged application is less important. If you don’t have experience and are working with a limited budget and time frame, then it is crucial that you select a mobile application development solution to expedite the project.

Step 7 – Understand How to Re-engineer Business Processes for Mobility

Mobile solutions can provide bar code scanning, digital images, GPS, RFID, data synchronization, enterprise database queries, integration with inventory, scheduling, work order, accounting and many other enterprise software applications. How will these capabilities change the way the field user works?

Step 8 – Build in Phases

Most successful projects involve a series of phased implementations. Each phase can be developed, tested and implemented in an orderly manner. Once a phase is deployed and proven, additional phases can be layered on top that include more features and added complexity. Remember, the more data requirements that you add the more data you must synchronize, and the longer each synchronization session will take. Only synchronize data that your remote users require in the field. Be aware that most mobile devices don’t have the same CPU power or memory as a PC/laptop, so understand the performance of your application on mobile devices before designing the solution.

Step 9 – Evaluate Your Hardware and Connectivity Needs

The term “mobile devices” can have many different interpretations. Today, laptops, Tablet PC’s, UMPCs, PDAs and Smart phones are all identified with this term. When determining the best mobile device for your project you will want to consider screen size, data storage capacity, security, physical working environment, required hardware accessories such as barcode scanners, GPS, digital cameras, RFID, and the ability to upgrade the device with updated hardware and software components.

How do you connect your mobile device to your enterprise database applications? You have many options including cradle, WiFi, satellite, Bluetooth, wireless, dial-up modems and satellite uplinks to name a few. The method(s) you choose will be affected by how often your mobile workers need to send/receive data. How much data will be transmitted and will they always have connectivity. Study each option, your working environment and consult your mobility partner to make the best selections.

Step 10 – Deploy, Evaluate and Improve

Once you have completed the first phase of your mobile solution and you are ready to deploy in the real world, roll out your solution to a group of trusted and motivated field users. Define a specific period of time to evaluate the solution, document the results and identify any required changes and improvements. The result of this evaluation should be an improved mobile solution that is ready for a wider deployment.

Step 11 – Set and Enforce Hardware and Security Policies

Mobile devices are small computers with the ability to store sensitive corporate data, communicate this data over the Internet and even catch viruses. You must clearly communicate how mobile devices are to be used and for what purpose. Establish and publish guidelines for using mobile devices.

Step 12 – Provide Full Support for Mobile Users

Mobile devices are guaranteed to break. What is your plan for keeping a mobile worker productive and communicating business critical information when their mobile device ceases to function or gets misplaced? These are inevitable issues that are best planned for in advance. Have a plan and a documented back up process.

Building Businesses with Mobile Handheld PDAs and Mobile Software

I have written a great deal on the value of specific mobile solutions like the following:
  • Mobile Work Orders
  • Mobile Inspections
  • Mobile Job Estimates
  • Mobile Asset Tracking
  • Mobile Delivery Solutions

Today I want to focus on some key problems businesses face, and how mobile solutions can help solve these problems. When a company expands beyond the capabilities of the owner/manager, new employees or contractors must be added. This can often introduce the following kinds of problems:

  • Inexperienced workers
  • Unreliable workers
  • Irresponsible workers
  • Uncommitted workers
  • Forgetful workers
  • Thieves and felons on the payroll

These problems can lead to the following set of issues:

  • Unhappy customers
  • Cost overruns
  • Incomplete and/or incorrect paperwork
  • Inaccurate job estimates
  • Work quality issues
  • Slow work production
  • Lost tools and equipment
  • Management headaches

Believe it or not - many of these issues can be improved and corrected by using mobile software applications on handheld computers to help ensure the best work in the field. Mobile handheld PDAs can help the owner/manager keep better tabs on the work and equipment in the field, ensure completed and correct paperwork, monitor customer satisfaction, and get real time notification if the job is taking longer than anticipated.

Smartphones, Mobile Handheld PDAs, Location Based Mobility - Google, Starbucks & Safeway

I made an interesting observation while taking a road trip over the holidays. Mobile handheld PDAs and Google and mapping software have made it possible for businesses without obvious street front locations to become more successful. Let me explain - My wife wanted to know if there was a Starbucks location along our driving route. She googled (used as a verb) the word Starbucks on her mobile handheld PDA phone and looked for a location in one of the small rural towns we would be traveling through. She quickly found a Starbucks location inside a Safeway in Baker City, Oregon. Here is the interesting point, this Safeway was not visible from the freeway, yet Starbucks had a long line of travellers waiting for their hot drinks. Seems we were not the only travelers clever enough to use a mobile phone, Internet explorer and Google to find their favorite drink.

Again, the fact that the location was not visible from the freeway did not seem to be a problem. How might this change the economics of the retail industry? In the near future, the key to retail success may be more dependent on your ability to be found on search engines like Google and Yahoo, and less on the physical location of the retail establishment. Hummm...perhaps I should use all of my saved money and buy 1 share of Google.
