Hospitals and Data Collection on Handheld PDAs

My wife and I spent Saturday evening visiting a friend in the hospital here in Boise. While in the hospital I quickly became distracted by the nurse. Not the nurse specifically, but by the handheld PDA she was carrying around. She was doing the following:


  1. Scanning a bar code on the wrist band of the patient
  2. Scanning a bar code on the applied medicine
  3. Capturing the date and time stamp on the handheld computer
  4. Synchronizing the data to an enterprise software application
  5. The collected data activates business rules
  6. The business rules prompt the user with questions
  7. The system alerts user if there is a problem with the treatment or treatment schedule
  8. Ask for response to alert

This was a fascinating example of a handheld PDA and a mobile data collection system that is integrated with an enterprise database. These same 8 steps can be implemented with many different assets. Let's consider a large piece of manufacturing equipment and a plant maintenance technician:

  1. Scan a bar code on the side of the equipment
  2. Scan a maintenance service bar code to designate the service you are performing

Concrete Sawing and Drilling and Mobile Handheld Computers


I had the opportunity to be the keynote speaker at the Concrete Sawing and Drilling Association meeting this week in Phoenix, Arizona. It was a cool 112 degrees on Wednesday when I arrived. I was able to spend a lot of time with these CSDA folks (who would go outdoors in that heat?) and learn even more about their individual businesses.

Here are some of the reasons companies in this industry are interested in mobilizing their field services:

1.Wirelessly dispatch job tickets to mobile handheld computers
2.Pre-task planning to prepare for job and have all required equipment loaded on vehicle
3.Track equipment that is needed and removed from warehouse
4.Record the person who checked out the equipment
5.Record the vehicle that equipment is assigned to
6.Document the tasks that need to be performed on the job. Were they all done?
7.How much time did each task take? Improve job estimates
8.Wirelessly synchronize data back to the office for instant invoicing

Symbol MC50, Target & Handheld PDAs in the Field

My family and I were doing something for the first time - outfitting a university dorm room. My son is about to leave the nest and join the ranks of academics and scholars (I hope!). Did you know that Target (USA based stores) has a complete line of products for dorm rooms called "07 College?" OK, they were not too creative on the brand name, but we did buy about a half dozen products from that line for his dorm room. In the process of shopping a store clerk walked by with a Symbol MC50 handheld PDA in her hand (if you are a regular reader you will note that Wal-Mart also used this handheld PDA and barcode scanner). She was looking up product inventory with the handheld and answering customers' questions.

I pondered the activities of the store clerk and considered how that same activity (i.e. business process) could also be used outside the store. Most of the mobile software solutions MobileDataforce helps deploy involve some level of rain, wind, dust and mud (in addition to oil, blood, ice, explosions, etc.). The store clerk was looking up inventory to help a customer know if they could buy the product. The query also would tell the clerk where the products were located, and if there were more in the warehouse.

Field Service technicians use this same feature everyday. They just work in locations with more dirt and spider webs. Picture this - the service technician is on his back under a furnace. A replacement part is required for the repair. He pulls out his Smart Phone and queries the inventory in his van. The part is not there, but it is in a van just 1 mile away. He calls to the other van driver who delivers it.

Inspection Data Requires Visibility and Handheld PDAs Can Help


I was in the Benelux working with a large Fortune 1000 company on a global inspection project involving over 500 inspectors. One of the motivations for the project was to ensure that the inspection data that was collected was synchronized from the mobile handheld computers directly to a database that could be viewed and analyzed by management in near real time. Previously, when inspections were completed on paper forms - the paper forms were simply filed in a cabinet. The only forms reviewed by management were those with a very, very bad scores. That meant nearly all the collected data was trapped on a paper form and stuffed in a dark file cabinet unavailable for easy viewing, distribution and analysis. The problem with not viewing the data that is collected is that trends and patterns can not be recognized and corrected in advance. There was a lot of money spent collecting inspection data that could not be acted upon in a preventative manner.
This week's bridge collapse in Minneapolis brought the Benelux example to mind. Seems there had been many inspections, but obviously the data was not being viewed by the right parties in a manner that would motivate preventative action.

Samsung Q1 Ultra - Handheld Computer for Construction and Building Inspections


MobileDataforce is working on a construction and building inspection software project in China. The handheld device chosen by our customer is a Samsung Q1 Ultra. It is a two-handed handheld computer. The Qwerty keyboard is split half on one side and half on the other side of the screen. The mouse is on the left side and a navigation button on the right.
This device will be used for inspections and quality assurance audits.
It is a good looking device, but a two-handed handheld will take some getting used to.

Muffled Voices in Your Mobile Handheld PDA

We are working on a large inspection software project in the UK for a water utility that uses handheld PDAs. In the course of supporting this effort one of the inspectors sent a problematic handheld PDA in for service. Seems it had run out of memory. Upon closer inspection we found a 30 minute voice memo of the inside of his pocket. For the curious - not much of interest in the recording.

Voice memos? These are useful when you need to record your findings while keeping your hands free (dangling from a 40 story building, climbing a ladder, crawling through a pipe). These voice memos can be wirelessly synchronized to a database and someone back at the office can type them into the database if needed.

Wal-Mart and Mobile Handheld PDA Solutions - Symbol MC50


I was shopping at Wal-Mart last night. OK!!! I needed food and it was there. As I am prone to do...I stopped a Wal-Mart employee who was walking by with a Symbol MC50 handheld and asked how she was using it. She said their new system allows her to approve or disapprove any issues at the cash register while working anywhere in the building. She simply punches in here ID on the transaction in question and selects here options to approve or disapprove. It saves management the time and exercise of running from the back room to the front cash register all day long. I wonder how this anti-exercise technology effects the manager in question?
The process described above does have some interesting lessons. How often do field service technicians have questions, or need approval to purchase items for a project? Perhaps they need a part, filter, tool etc. How much time is wasted trying to track down the operations manager on the golf course just to get a simple approval. Wal-Mart provides another useful process that involves handheld computers.

Mobile Software Solutions and Breakfast in Boise

Otterbox and the iPAQ Handheld PDA Drop Test



Question - What does MobileDataforce do with old HP iPAQs?

Answer - We place them in a variety of rugged Otterbox cases and drop them to see if these handheld PDAs will break.

Details: We dropped the HP iPAQ many times from 8 feet. We used 2 different Otterboxs and we could not break the iPAQ inside. We then used a rugged iPAQ case from HP. The rugged case shattered, but not the iPAQ. So if you had a large number of HP cases, the iPAQ would be fine.

TDS Ranger & Trimble Ranger Rugged Handheld Computer

The TDS, or Trimble Ranger pictured here in the development screen of the PointSync Mobility Platform, is an interesting and very usable device. It is designed around the concept of a landscape view that makes it easier to read long data fields. This particular device is water proof and comes with more buttons than you could ever use. It has a full alphabetical keyboard and a full number pad plus navigation buttons.

Although one of the larger rugged handheld computers, the shape is very agreeable to the grip and the weight is reasonable. One of our customers is currently using this device in the context of mobile autobody services.

Unscientific Analysis of the Mobile Software Market for Handheld PDAs


If you are looking for a scientific study, with verifiable statistics, on the trends to be found in the enterprise mobile software application market, this is the wrong place. What I can share is the following examples from the past few days in Boise, Idaho, USA.

Last week I looked out of my office window (I do this a lot to appear contemplative), and see a mobile dent repair van in the parking lot. We have been involved with many mobile dent repair business application projects - my sales team swarmed him. Later that day the paintless dent repair technician visited our website to download information on our mobile solutions for paintless dent repair.

Yesterday, I visited Starbucks (this was not my first time), and saw a gentleman wearing a shirt that had a "Carrier" logo. Carrier is a manufacturer of Air Conditioning equipment. We have been involved with numerous mobile software application projects with HVAC (heating, ventilation and air conditioning) companies.

I said, "Howdy! I work for a company that develops software applications for handheld PDAs used in the HVAC industry." He looked at me with surprise (I get that a lot when I talk to people) and then he said, "I am looking for mobile work order software for my HVAC business right now."

Later, I was working in my tomato garden (a world class production) last week and my neighbor came over. He leaned against my fence and said the software company he works for is interested in mobilizing their work order management software application. I know just the company I told him. He is coming over to the office later this week.

Again yesterday I was returning to the office after having visited a unique, one-of-a-kind place called Starbucks, and there in the parking lot was a van with the words "Mobile Windshield Repair" on the side. I went down the hall to our sales department and pointed out the window. With an explosion of papers and headsets the room cleared. The Mobile Windshield company has many locations and vans operating across multiple states. They are interested in mobilizing their dispatch and work order processes.

My truly unscientific analysis suggests the market is very interested in mobilizing business processes today. I want to be the first to raise my hand and say - talk to us here at MobileDataforce. Intermec CN3 Handheld PDA with Card Reader



MobileDataforce is testing a new Intemec CN3 handheld PDA with an attached card reader for one of our clients. It feels nice and balanced in my hand and seems to be a very viable hardware solution for our clients.

Our client wants to perform inspections out-of-doors with this windows mobile device and also charge for services, process a credit or debit card transaction and print invoices and receipts from a mobile printer.

VIN Decoding with the Socket SoMo Handheld PDA & Socket Scanner on GM Automobiles

MobileDataforce is involved with a lot of mobile software project's in the automotive industry. Paintless Dent Removal, windshield repair, automobile bumper repair, upholstery repair, etc. Many of these projects we work on use the ability to scan the barcode VIN (vehicle identification number) on the automobile. Scanning the VIN enables you to quickly pull up all the relevant data on the car and to uniquely identify the car you are servicing.

Yesterday we tried to use the new Socket Pocket PC with an add-on Socket barcode scanner to read the VIN on a General Motors vehicle. No luck. GM automobiles all have their VIN number with barcode on the dashboard so you must scan through the windshield. The scanner is just not bright enough to penetrate the windshield under full sun. This is not unique since about the only device we have tested that does this well in the Psion Teklogix WorkAbout Pro with a laser scanner.

In defense of the Socket SoMo - we are very impressed with the speed of this device and it's PDA capabilities. Our Product Manager uses it daily in the office.

He rode this beautiful new electric bike into the office this morning. He bought the kit and added it to a regular bicycle. It goes up to 35 MPH and has a 9 mile range between charges!

Barnes & Noble's and Handheld PDAs - Symbol PDT 3140


I have a habit. It is a habit that my family has learned to live with. I must confess. I can not pass by a person working with a handheld PDA without stopping to ask them what they are doing. My family has learned to just keep on walking as if they don't know me.

Yesterday, I was walking through Barnes & Noble (a book store) when I spotted an employee working with a Symbol PDT 3140. I first introduced myself and said my interest in her was purely professional (I've got to work on that line). I told her I worked at MobileDataforce and we deliver all kinds of mobile software solutions for use on Symbol handheld computers, and was interested in how she was using it.
"Are you using it for inventory tracking?" I asked.
"No, I am looking up where each book on my cart is to be placed on the shelf," she answered.
She was not using the handheld PDA and mobile software purely as an inventory database, but the software on it was telling her how to do her job the right way based upon planagrams (analysis of how items should be displayed and organized to maximize sales). This is a very good example of how mobile handheld computer solutions can be much more than just portable data storage, or field data collection devices. Huge DB2, SAP or Oracle databases with data mining and business intelligence applications can crunch large numbers and then push that knowledge to the mobile handheld computer of the mobile worker. This allows the most sophisticated intelligence to be shared with the lady in Barnes and Noble, or the electrical utility guy crawling through the briars inspecting power lines via his mobile handheld PDA.

New Rugged Handheld PDA - Trimble Nomad


The new rugged handheld from Trimble & TDS is quite impressive. Follow this link to the full description:
The new Trimble Nomad packs even more functionality into the most powerful and full-featured rugged handheld computer available. Start with an 806 MHz processor, 1 GB of Flash storage, a long-life battery and integrated wireless capabilities like GPS, 802.11g, and Bluetooth. In the past I have been disappointed with the lack of muscle and speed in the TDS Recon (a predecessor), and the need to add external GPS, barcode, digital camera assessories, but this new product line seems to have resolved most of those issues. I am a big fan of the rugged, easy grip, water resistant case, and I just think the Tonka Truck yellow is cool!
Many of MobileDataforce's customers work in rough and tumble environments (utilities, construction, asset tracking, inspections, environmental assessments, etc.) and a rugged handheld PDA like the Nomad is a great choice.

What Don't I Know About Mobile Software Solutions & Deployments?



This is always a difficult question. How can you know what you don't know. Well I guess the answer is you find someone who has been there and done that and learn from them.

This blog article is a good starting point. It identifies 51 questions the helpdesk team will want to have answered before large mobile software deployments.

Let me highlight a few of the questions you will want to have answered:
  1. Do you anticipate only needing one specific mobile software application, or many mobile applications over time? Can you start with a mobile software platform that supports all of your mobile needs, or will each mobile application be a separate IT project and use different technologies and infrastructures?

  2. Do you know your exact solution and data requirements in advance, or do you anticipate needing to edit and adjust your mobile application as you learn from your field experiences and users? This will impact both design and schedules.

  3. Do you have an in-house software development capability, budget and helpdesk infrastructure to enable you to customize your own mobile software application(s)?
  4. Do you want to contract your mobile software application design, development and deployment to an experienced mobility company, or build it internally?

  5. Will you be synchronizing your field data with one back-office database, or multiple database applications?

  6. Do you know how to integrate field data to your database applications? Do you have your own DBA that can do this?

  7. Mobile solutions are often used on laptops, Tablet PCs, Smart phones, PDAs, etc. Do you know your exact hardware requirements? Will you be supporting just one device, or all of the above?

  11. The biggest challenge with complex mobile application development is to create the right data model for your mobile application before you start development. Insurance Inspector & Mobile Handheld PDA Inspection Software


Our team in the UK has been busy working with a number of insurance companies on mobilizing their inspection processes. Automobiles that are damaged must be inspected by representatives of the insurance company in order to value the car and appraise the damage.

The inspections take place at the location of the car - so rather than travel to the location, fill out a paper form, submit the paper form to the administration staff to type into a computer - the inspector fills out an electronic inspection form on a mobile handheld PDA and submits it wirelessly to the enterprise computer system for immediate processing.


Mobilized inspection software and processes make so much sense and are very easy to justify on the merits of reduced expenses, reduced errors and better customer service.

I refrained from explaining how we mobilize HVAC operations regularly. It makes so much sense to combine the 3 forms into one mobile software application on a handheld computer. The service agreement, maintenance inspection and invoice could be integrated easily into one electronic form on the rugged handheld computer and the data could be synchronized wirelessly directly to the office computer system.

The service technician could query past visits with a simple online request. Digital signatures and a mobile handheld computer could be used to capture digital signatures and a mobile printer used for the invoice. The invoice could even be emailed to the customer rather than using more paper.

Service orders could be dispatched electronically to the service technicians handheld computer rather than trying to call and read all the information, which the service technician scribbles on a paper tablet while drinking his coffee and driving through the rain in rush hour traffic.

Oh my...I have a lot of work to do.

Toilets and Mobile Handheld PDAs


This is a first - MobileDataforce is developing an inspection software solution for inspecting toilets using handheld PDAs. Our team in Newcastle, England is working on a project called WaterSmart. This application is for Water Utility companies to use to help homeowners conserve water and save money.

This is how it works:
  1. Inspectors swarm into a homeowner's bathrooms and start flushing their toilets, using their showers and filling their bath tubs.
  2. They measure outputs, water pressure, and the overall water use of a house.
  3. They use handheld PDA applications to collect all of this data and synchronize it back to headquarters
  4. The data collected results in recommendations for the installation of water conservation equipment in the home, which kicks-off a work order process
  5. The work order is dispatched to a service technician that travels out to the home and installs things like; balloons in the toilet to reduce the water in the tank, shower heads that reduce water volume to a dribble and many other clever things...

These mobile software applications are used for mobile inspections, data collection, work order dispatch and synchronization. These are very interesting projects and they allow us to play with cool new handheld PDAs and other mobile gadgets.

Auto Appraisals Using Handheld PDAs and Mobile Software

Reporting from the UK - Our team in Newcastle has developed a number of very interesting and compelling mobile handheld PDA solutions for the automotive industry. An application I previewed today enables service companies to complete many mobile services and use their mobile handheld computers to register and invoice the work. The solution was designed to mobilize the following three business processes:
  1. Mobile dent repair and minor autobody work
  2. Mobile Auto Detailing/Valet
  3. End-of-Lease Inspections

All of these business processes are completed on the mobile handheld PDA and synchronized with a web enabled database.

Reporting from the UK - Mobile Automotive Solutions for PDAs, Handhelds and Smartphones

I am in Newcastle, UK this week on assignment. Our team here in Newcastle are experts in the automotive industry. They have many years experience working with mobile PDAs, handhelds and Smartphone solutions for vehicle auctions, automobile dealerships, automobile lease return applications and more. Today they demonstrated their mobile PDA solutions to a large automobile dealership with locations across Ireland.

The mobile solution they were demonstrating included a valuation component. A person could scan a VIN code and the description of the car would pop-up and auto fill the the electronic inspection form on the handheld PDA. The dealership would then inspect the car for damage and the final value of the car would be computed from the valuation database and the inspection.

This solution is used for automotive auctions, auto dealers, insurance and automotive lease return companies.

First the Dell Axim PDA Dies & Now the iPAQ Pocket PC???


Rumor on the street, at least in the mobile handheld industry world, is that HP may be discontinuing their line of stand alone PDAs. The rumor originated from a recent refusal by HP corporate to sell 1,000 current and supported iPAQs to a customer. No company rejects an order for 1,000 devices if they mean to continue them. This same customer was not able to source this iPAQ in any significant quantities from distributors either.
Keep in mind this is a blogged rumor...that means it is many times less reliable than the one from the cubicle next to you.
Even if true, HP may just be consolidating their iPAQs around iPAQ Phones.

LXE Using Animation to Market the HX2 Wearable Computer



LXE is using a cartoon character called the "Scan Man" to market their new wearable, rugged computer called the HX2. The HX2 has a screen made from the same material as a fighter-jet's cockpit windshield and is strapped to your arm.

I haven't spent much time thinking about wearable computers as I focus most of my time on mobile handheld PDAs, smartphones and industrial barcode scanners that run on Windows Mobile OS. Maybe it's time. Here are two interesting descriptions on LXE's website:
  1. Breakaway ring scanner improves operator safety by preventing snags. (Snags is another word for ripping your finger off)
  2. Voice enabled with ToughTalk technology. (I wonder if this was tested on sailors?)

This computer enables you to point at a distant object and voice order it to be scanned. The voice enabled computer is strapped to your arm and connected to a scanner ring that fits on your finger. Very clever! I wonder if there are any restrictions on which finger you can use to point?

Inside and Outside the 4 Walls with Mobile Software and Handheld PDAs


I have spoken to a number of handheld computer manufacturers and distributors this month and they have all emphasized that 2007 is the year to go out-of-doors with their handheld PDAs and handheld barcode scanners. The market inside the 4 walls is flat (no growth). The industry's growth is in mobility, the great rugged outdoors.
Symbol/Motorola has the MC70, MC50 and MC35 handheld PDAs and barcode scanners that are meant to be used in mobile out-of-doors environments. Psion Teklogix, Socket, Hand Held Products, Intermec and most others are dedicating sales teams and marketing campaigns to this mobile handheld and mobile software market segment.
From a software perspective, MobileDataforce started in this rugged environment. Our mobile software platforms were designed from the beginning to work equally well whether connected or disconnected indoors or outdoors.

Ryzex Buys, Sells & Recycles Mobile Handheld PDAs and Computers


If you don't know about Ryzex, you probably should. They buy old handheld barcode scanners as well as sell new mobile handheld PDAs. Why is that interesting? Many companies have a closet full of old and broken handheld computers and barcode scanners. Ryzex will buy, repair, refurbish or recycle them.

Ryzex has a very interesting business model. They focus on managing the lifecycle of handheld barcode scanners for their customers. They can sell, lease or rent new handheld barcode scanners, or sell, lease or rent old ones. Some jobs are just not sexy enough to justify new barcode scanners. Some companies, like engineering firms, do a lot of project work and only need a handheld data collector for 3 months so may want to rent it.

Casio Enterprise Handheld PDA


It looks like the term "Enterprise PDA" is catching on, at least within the marketing organizations of both Casio and Motorola. Casio has the new IT-10 (the name doesn't exactly roll off the tongue does it?) Pocket PC. You can use it in the shower and drop it from 3 feet to the soap covered tile floor. It is also shock resistant. Now that is thinking ahead! No one likes getting shocked in the shower, dropping their handheld Pocket PC and having it break all in the same morning. Now that is a unique marketing angle! If you don't take showers, the IT-10 is also dust resistant and doesn't have a nose.
Casio describes the IT-10 as a "new rugged PDA designed and built to be used for vertical applications in severe business environments." If I read that right, it is not intended for horizontal applications in good business environments. Hummm...Seems like you could make more sales if you sold products to companies in good business environments.

The Juno Rugged Handheld Pocket PC


Trimble has just released, or at least I have just found out about, a new not-rugged Pocket PC (now Windows Mobile) called Juno, pronounced like but not to be confused with Juneau, Alaska. It looks rugged, but Trimble seems to want everyone to know it is not - The Juno™ ST handheld is a highly productive yet affordable, non-rugged GPS receiver for field data collection and mobile GIS. The Juno ST handheld is Trimble's most compact, lightweight, fully-integrated field computer, providing 2 to 5 meter GPS positioning in real time or after postprocessing.

The Juno ST handheld is ideal for utility companies, government organizations, and agencies that are managing large deployments and tight budgets....but don't mind breaking their handhelds and buying replacements that cost more than buying a rugged one in the first place (sorry I added that).
Garmin and Navman have long had PDAs with integrated GPS, but this seems to be Trimbles first efforts to provide low end, field data collection devices. I like the idea, but Trimble's marketers seem almost apologetic.

Another Plane Another Victim - Evangelizing Mobile Handheld PDA Applications


I was on another plane today and a senior engineer was unfortunate enough to be seated next to me. The engineer manages the building of highways and bridges. Hummm.... We do a considerable amount of work for companies involved in highway construction and bridge building by helping them implement mobile PDA solutions on rugged handhelds. In fact the largest engineering and construction firm in Australia has asked us to work with them on a number of interesting projects.
I love working with engineers. They have to collect data on everything and they often work on very strange projects.
Trimble is a ruggedized handheld vendor that develops a lot of solutions for this industry.
