The poor HVAC service technician didn't see it coming. My wife tried to warn him. She said, "Don't answer any of his questions!" It was too late.


  • Kevin -"What have you got there on the clipboard."

  • Unsuspecting HVAC service technician -"This is a work order form."

OK...some math and ROI considerations:

  • 20 minutes/day/HVAC service technician on the phone with Pam writing down new work orders
  • 10 minutes/day/HVAC service technician waiting on the Nextel phone system to work
  • Pam spends 8 hours a day dispatching and talking to HVAC service technicians on the phone

If my numbers are correct that would equal 18.3 hours per day that the HVAC company is wasting on tasks that could be automated and mobilized by using a mobile handheld PDA work order software application (from MobileDataforce) synchronized with the work order management system in the office. If you multiply 18.3 by $20/hour you have $366. Now multiply $366 by 22 work days in the average month and you have $8,052. Now multiply $8,052 by 12 months and you have $96,624.

Review of Paintless Dent Repair Technologies, PDAs and Handhelds



I have written several articles on the different components of a Paintless Dent Repair mobile software application for service technicians. Here is a consolidated list of the various component of this application:
  • Mobile Handheld PDA bar code scanner to scan VINs (vehicle identification numbers) for the purpose of uniquely identifying the vehicle you are inspecting and servicing (for more information on this)

  • VIN database and VIN decoding - the mobile handheld PDA contains a full database of nearly all the automobiles available in a particular country. When you scan the bar code on the vehicle the VIN number is decoded and the description of the vehicle automatically populates the inspection or work order application on the handheld pc. This is updated regularly.

  • Vehicle Inspection Application - once you have scanned the VIN number, you want to inspect the vehicle to identify the necessary services that will be required. This blog article discusses the SPLAT screen technology that is used to graphically identify the location on the vehicle where services are needed.

  • Mobile Work Order Software Application - once the inspection is completed and the customer signs his/her digital signature agreeing to pay for the services, the work can be preformed. Once the work is completed the customer will be invoiced and the work order data can be wirelessly synchronized with the accounting software in the office.
  • Work Order Management Software in the Office - back at the office new employees and service technicians can be entered into the work order management system and this information can be synchronized back out to the handheld computer in the field. Once this information is synchronized with the handheld computer the employee can be assigned to work orders. Many of our customers pay employees based upon their completed work so this is important. This office application also provides a history of work completed for each customer, reports, customer set-up and administration settings. You can also schedule work in the future with various customers.
  • Integration with QuickBooks (or other accounting applications) - All of the completed work in the field needs to be tracked and invoiced through as accounting system. MobileDataforce has integrated with many accounting packages, but the default accounting system that will come pre-integrated in the FieldSync Automotive application is QuickBooks.

The image to the right is the SPLAT screen from the mobile automotive service order application called FieldSync Automotive. It is designed for companies that inspect vehicles for damage and conduct work like Paintless Dent Repair - PDR. You can bar code scan the VIN number, inspect the vehicle, create a mobile work order and get customer approval to work on the vehicle. The completed work order is then synchronized to the FieldSync Automotive office application.
The splat screen is a very helpful concept. You can select a vehicle type such as truck, 4-door, hatch back, etc. The splat image brings up an image that enables you to graphically depict the damage or location of work. This is powerful documentation that shows well to the customer.

In a blog article I wrote earlier, I discussed a mobile work order software application for use on PDAs, handhelds and Smartphones under development that is designed to run on ruggedized handheld computers and to be used by automotive service technicians. They bar code scan the VIN of a car and then create a work order. Once the work order is approved they complete the work, invoice the customer and synchronize the data with the office. How do you improve upon a paper forms-based business process? The plumber, electrician and appliance repair person have been using a clipboard with paper work orders and service tickets forms forever. How do you improve upon this tried and true process? Let me provide some ideas for your consideration:

I heard a story about why Sears Service Technicians implemented a wireless work order system in their service vans. Saving Time Developing Mobile Software for Handheld PDAs


It is important to recognize that mobile software applications for handheld PDAs are not just developed by 1 person in a dark room with a computer. The business unit manager can order a mobile software application to be developed, but someone must design it, develop it, test it and approve it. Do you really want the programmer to complete the entire application on his/her own, or do you want a person who understands the business to be involved? Here are some considerations:
  1. Do you want the mobile software application to look exactly like the paper form in use today? If you don't specify differently, the programmer may design it to look like a small piece of paper on a mobile handheld PDA.

  2. Do you want the programmer to dictate your business process, or do you want to tell the programmer how the business process should work?

  3. Do you want the programmer to tell the field workers how, when and where they should sync the mobile application, or do you want the business users to tell the programmer.

  4. Do you want the programmer to select the mobile handheld PDAs, or do you want the business unit to describe their requirements to the programmer?

  5. Do you want the programmer to tell the business unit when the mobile software application is complete and final, or do you want to test it and approve it?

Most of these questions have obvious answers. The business unit, the organization that will benefit or suffer from the mobile application, needs to have active input into the design, development, testing, deployment and support of the application. It is not a 1 programmer job.

The problem many development projects suffer from is this active involvement was not anticipated or planned, therefore, it either does not happen or comes as an inconvenient surprise. However, you have now been warned in advance so this will not happen on your project, right?

You Should Not Develop a Mobile Application - Just Because You Can

We often receive calls from software developers asking about our mobile software development environment. The developers often ask the question, "Why should I use your development platform when I can develop my own mobile software application for handheld PDAs?" That is a good and fair question. I will usually follow their questions with my own:
  1. How many mobile software applications have you already designed, developed, deployed and supported successfully for handheld PDAs? Is your employer comfortable with having you learn on the job or are they risk adverse? Are they willing to be patient with your learning curve? If it takes you 4 months longer to develop your own, does the business suffer?
  2. Have you created a full synchronization engine successfully in the past? This is very complicated and software companies like MobileDataforce have spent years optimizing these. What are the chances you will get it right and optimized on the very first project?
  3. Do you have experience developing and configuring a variety of connectivity options such as cradle sync, wireless sync, satellite sync, bluetooth, etc.? Does the business manager know which one is needed in every case? Should you develop one, or develop multiple methods? Are the business requirements likely to change in the next 3 years?
  4. Have you developed a full database integration manager for mobile solutions? Do you need an API or will your DBA allow you to directly populate the database? If you can directly populate the database, then the data better be validated in the mobile software application on the handheld pc. Did you set aside time for that?
  5. Do you have experience designing scalable and reliable mobile applications? This is simply an experience thing. You don't know what you don't know.
  6. Do you have support for a Pocket PC 2003, Win CE, Microsoft Mobile 5 & 6? How are you going to upgrade and support next year's mobile OS from Microsoft? Is this built into your project plan and budget?
  7. Have you developed mobile applications that run on a large variety of different mobile handheld devices? This takes a lot of work and thought. Every week new mobile handheld devices are being delivered with new technologies and add-on components. The device selected today, will likely not be available next year at this time. How do you keep current?
  8. Do you have experience developing interfaces for third party hardware? Mobile applications often need additional third party technology integration like bar code scanners, RFID, GPS, Digital Cameras, etc.
  9. Have you thought through and developed dashboards for managing mobile application security, users, applications publishing, etc?
  10. Do you have a development environment set up exclusively for mobile applications development that may include short-cuts, libraries, screen designs and scripts?
  11. Do you have experience creating a helpdesk dashboard for sync logs, users, applications, device management, etc.?

Most often the developer was only interested in creating the screens for the mobile application, not a complete mobile application platform and support system. They had not considered the full end-to-end solution requirements when volunteering to develop a mobile handheld application.

New Palm Treo 500v Smartphone


Palm has released a new version of the popular Treo series Smartphone - Palm Treo 500v. It sounds like it will be available in Europe in October and available from Vodafone. It will be using Windows Mobile 6.0. I think the Palm OS may be going away soon in favor of Windows Mobile for PDAs.
The Palm Treo 500v and the Palm 750w (available in the USA from AT&T) are good examples of "convergent" devices. Devices that can handle both your work and your play. For companies like MobileDataforce, devices like these mean more business owners, managers and field technicians will be using mobile devices capable of handling mobile field service applications. Don't Start a Mobile Software Development Project Yet


In Steven McConnell's book, "Code Complete" he describes why a person should not jump right in and start developing code for a mobile software solution for use on handheld PDAs on the first day that the business thinks it is a good idea. Often business motivations help drive a sense of urgency to start coding a software application immediately, but there are also business motivations NOT to start today. Coding without gathering ALL the requirements and architecting the system has a high cost.

Here is an excerpt from McConnell's book that is very interesting and true:

Explicit requirements help to ensure that the user rather than the programmer drives the system’s functionality. If the requirements are explicit, the user can review them and agree to them. If they’re not, the programmer usually ends up making requirements decisions during programming. Explicit requirements keep you from guessing what the user wants.

Explicit requirements also help to avoid arguments. You decide on the scope of the system before you begin programming. If you have a disagreement with an other programmer about what the program is supposed to do, you can resolve it by looking at the written requirements.

Paying attention to requirements helps to minimize changes to a system after development begins. If you find a coding error during coding, you change a few lines of code and work goes on. If you find a requirements error during coding, you have to alter the design to meet the changed requirement. You might have to throw away part of the old design, and because it has to accommodate code that’s already written, the new design will take longer than it would have in the first place. You also have to discard code and test cases affected by the requirement change and write new code and test cases. Even code that’s otherwise unaffected must be retested so that you can be sure the changes in other areas haven’t introduced any new errors.

...Data from numerous organizations indicates that on large projects an error in requirements detected during the architecture stage is typically 3 times as expensive to correct as it would be if it were detected during the requirements stage. If detected during coding, it’s 5-10 times as expensive; during system test, 10 times; and post-release, a whopping 10-100 times as expensive as it would be if it were detected during requirements development. On smaller projects with lower administrative costs, the multiplier post-release is closer to 5-10 than 100 (Boehm and Turner 2004).

McConnell lists 5 steps in the software development process:
  1. Requirements
  2. Architecture
  3. Coding
  4. System Test
  5. Post-release

There is simply NO way to bypass these steps for the purpose of saving time and money. If there is an urgent need for the mobile software solution, then there needs to be an urgent need to define the requirements, and architect the system so coding can begin.

An Interesting ROI for Mobilizing Business Processes Using PDAs and Handhelds


Here are 2 new and unusual ROIs (return on investment)that came in this week for a mobile solutions customer of MobileDataforce's.
  1. They don't want their inspectors taking up parking spaces at the office. The parking space is limited so they would rather synchronize data out to the mobile inspectors than have them come to the office.

Why Do Some Companies Use Mobile Software and Others Don't?

Although we receive many calls, these companies are unique. For every company that calls my mobile software solutions team, many others in the same markets regretfully do not. Is it because my marketing budget is finite and they simply don't know MobileDataforce exists? Perhaps, but I am inclined to think there is more to the story.
The companies calling us are dissatisfied. They are dissatisfied with their existing business processes. They see inefficiencies and they are annoyed. When is a Mobile Software Solution for PDAs and Handhelds a Bad Idea?


This morning, one of my sales team told me he had said "no" to a company wanting to purchase a mobile software solution for their employees' PDAs and handhelds. A few minutes later as he cleaned out his desk and was escorted to the the door he called out over his shoulder, "They couldn't tell me how it would benefit their company!"
Hummm...Good Point.
If a customer or prospective customer can not articulate the value of a mobile solution to their business, then why bother? Mobile solutions take time and effort to design, develop, deploy and support. Customized mobile applications need to be integrated with database systems and business processes need to be re-engineered to optimize the value of mobilizing. This all takes work. If the customer can not identify the value of this effort or the expected ROI, then their commitment to seeing the project through a successful roll-out is very limited.

Getting Started on a Mobile Software Development Project for Handheld PDAs and Smartphones

What does it take to get a mobile software application for a handheld PDA or smartphone developed? The quick answer is just time and money, but the long answer follows:
  1. Draw a picture or diagram of the various players, software systems, buildings, vehicles, etc., that will be involved in the system. It helps everyone to see where the data starts, where it is collected, edited, synchronized used and stored.
  2. List the business processes involved in the system (i.e. work orders, asset tracking, inventory, inspections, accounting, payroll, invoicing)
  3. List who will be using the system
  4. Ask an expert to draw out and detail how the enterprise application works and interfaces with third party software
  5. Identify how each person involved will access the information (i.e. mobile handheld computer, desktop application, web application, etc.)
  6. What reports do they need to have? Are they dynamic, or are they standard reports?
  7. What database application(s) does the mobile application need to interface with?
  8. Provide a database schema for the database where the data will be stored?
  9. Make an expert, that knows your database application, available so the development team can quickly get their questions answered
  10. Pick your mobile device or handheld computer early so the development team knows screen sizes, button configurations, bar code, RFID, GPS etc., configurations
  11. Have a person available to review and test the work each step of the way.
  12. Don't ask the mobile application to do all of the same things as an enterprise software application. Be careful to use the mobile software application in the right manner with an understanding of the limited screen size, processor speed and memory available on mobile devices.

Pipeline Construction & Inspection and Handheld Computers


We are working with a large civil engineering firm on a 500 mile pipeline construction project. The engineering firm is using the PointSync Mobility Platform to develop mobile software to do environmental impact data collection in the field. If there is a negative environmental impact, then remedial plans and efforts must be implemented. Hospitals and Data Collection on Handheld PDAs

My wife and I spent Saturday evening visiting a friend in the hospital here in Boise. While in the hospital I quickly became distracted by the nurse. Not the nurse specifically, but by the handheld PDA she was carrying around. She was doing the following:

  2. Scanning a bar code on the applied medicine

Concrete Sawing and Drilling and Mobile Handheld Computers


I had the opportunity to be the keynote speaker at the Concrete Sawing and Drilling Association meeting this week in Phoenix, Arizona. It was a cool 112 degrees on Wednesday when I arrived. I was able to spend a lot of time with these CSDA folks (who would go outdoors in that heat?) and learn even more about their individual businesses.

Here are some of the reasons companies in this industry are interested in mobilizing their field services:

Symbol MC50, Target & Handheld PDAs in the Field

My family and I were doing something for the first time - outfitting a university dorm room. My son is about to leave the nest and join the ranks of academics and scholars (I hope!). Did you know that Target (USA based stores) has a complete line of products for dorm rooms called "07 College?" OK, they were not too creative on the brand name, but we did buy about a half dozen products from that line for his dorm room. In the process of shopping a store clerk walked by with a Symbol MC50 handheld PDA in her hand (if you are a regular reader you will note that Wal-Mart also used this handheld PDA and barcode scanner). She was looking up product inventory with the handheld and answering customers' questions.

I pondered the activities of the store clerk and considered how that same activity (i.e. business process) could also be used outside the store. Most of the mobile software solutions MobileDataforce helps deploy involve some level of rain, wind, dust and mud (in addition to oil, blood, ice, explosions, etc.). The store clerk was looking up inventory to help a customer know if they could buy the product. The query also would tell the clerk where the products were located, and if there were more in the warehouse.

Field Service technicians use this same feature everyday. They just work in locations with more dirt and spider webs. Picture this - the service technician is on his back under a furnace. A replacement part is required for the repair. He pulls out his Smart Phone and queries the inventory in his van. The part is not there, but it is in a van just 1 mile away. He calls to the other van driver who delivers it.

Inspection Data Requires Visibility and Handheld PDAs Can Help


I was in the Benelux working with a large Fortune 1000 company on a global inspection project involving over 500 inspectors. One of the motivations for the project was to ensure that the inspection data that was collected was synchronized from the mobile handheld computers directly to a database that could be viewed and analyzed by management in near real time. Previously, when inspections were completed on paper forms - the paper forms were simply filed in a cabinet. The only forms reviewed by management were those with a very, very bad scores. That meant nearly all the collected data was trapped on a paper form and stuffed in a dark file cabinet unavailable for easy viewing, distribution and analysis. The problem with not viewing the data that is collected is that trends and patterns can not be recognized and corrected in advance. There was a lot of money spent collecting inspection data that could not be acted upon in a preventative manner.
This week's bridge collapse in Minneapolis brought the Benelux example to mind. Seems there had been many inspections, but obviously the data was not being viewed by the right parties in a manner that would motivate preventative action.

Samsung Q1 Ultra - Handheld Computer for Construction and Building Inspections


MobileDataforce is working on a construction and building inspection software project in China. The handheld device chosen by our customer is a Samsung Q1 Ultra. It is a two-handed handheld computer. The Qwerty keyboard is split half on one side and half on the other side of the screen. The mouse is on the left side and a navigation button on the right.
This device will be used for inspections and quality assurance audits.
It is a good looking device, but a two-handed handheld will take some getting used to.

Muffled Voices in Your Mobile Handheld PDA

We are working on a large inspection software project in the UK for a water utility that uses handheld PDAs. In the course of supporting this effort one of the inspectors sent a problematic handheld PDA in for service. Seems it had run out of memory. Upon closer inspection we found a 30 minute voice memo of the inside of his pocket. For the curious - not much of interest in the recording.

Voice memos? These are useful when you need to record your findings while keeping your hands free (dangling from a 40 story building, climbing a ladder, crawling through a pipe). These voice memos can be wirelessly synchronized to a database and someone back at the office can type them into the database if needed.

Wal-Mart and Mobile Handheld PDA Solutions - Symbol MC50


I was shopping at Wal-Mart last night. OK!!! I needed food and it was there. As I am prone to do...I stopped a Wal-Mart employee who was walking by with a Symbol MC50 handheld and asked how she was using it. She said their new system allows her to approve or disapprove any issues at the cash register while working anywhere in the building. She simply punches in here ID on the transaction in question and selects here options to approve or disapprove. It saves management the time and exercise of running from the back room to the front cash register all day long. I wonder how this anti-exercise technology effects the manager in question?
The process described above does have some interesting lessons. How often do field service technicians have questions, or need approval to purchase items for a project? Perhaps they need a part, filter, tool etc. How much time is wasted trying to track down the operations manager on the golf course just to get a simple approval. Wal-Mart provides another useful process that involves handheld computers.

Otterbox and the iPAQ Handheld PDA Drop Test



Question - What does MobileDataforce do with old HP iPAQs?

Answer - We place them in a variety of rugged Otterbox cases and drop them to see if these handheld PDAs will break.

Details: We dropped the HP iPAQ many times from 8 feet. We used 2 different Otterboxs and we could not break the iPAQ inside. We then used a rugged iPAQ case from HP. The rugged case shattered, but not the iPAQ. So if you had a large number of HP cases, the iPAQ would be fine.

TDS Ranger & Trimble Ranger Rugged Handheld Computer

The TDS, or Trimble Ranger pictured here in the development screen of the PointSync Mobility Platform, is an interesting and very usable device. It is designed around the concept of a landscape view that makes it easier to read long data fields. This particular device is water proof and comes with more buttons than you could ever use. It has a full alphabetical keyboard and a full number pad plus navigation buttons.

Although one of the larger rugged handheld computers, the shape is very agreeable to the grip and the weight is reasonable. One of our customers is currently using this device in the context of mobile autobody services.

Unscientific Analysis of the Mobile Software Market for Handheld PDAs


If you are looking for a scientific study, with verifiable statistics, on the trends to be found in the enterprise mobile software application market, this is the wrong place. What I can share is the following examples from the past few days in Boise, Idaho, USA.

Last week I looked out of my office window (I do this a lot to appear contemplative), and see a mobile dent repair van in the parking lot. We have been involved with many mobile dent repair business application projects - my sales team swarmed him. Later that day the paintless dent repair technician visited our website to download information on our mobile solutions for paintless dent repair.

Yesterday, I visited Starbucks (this was not my first time), and saw a gentleman wearing a shirt that had a "Carrier" logo. Carrier is a manufacturer of Air Conditioning equipment. I said, "Howdy! I work for a company that develops software applications for handheld PDAs used in the HVAC industry." He looked at me with surprise (I get that a lot when I talk to people) and then he said, "I am looking for mobile work order software for my HVAC business right now."

Later, I was working in my tomato garden (a world class production) last week and my neighbor came over. He leaned against my fence and said the software company he works for is interested in mobilizing their work order management software application. I know just the company I told him. He is coming over to the office later this week.

Again yesterday I was returning to the office after having visited a unique, one-of-a-kind place called Starbucks, and there in the parking lot was a van with the words "Mobile Windshield Repair" on the side. I went down the hall to our sales department and pointed out the window. With an explosion of papers and headsets the room cleared. The Mobile Windshield company has many locations and vans operating across multiple states. They are interested in mobilizing their dispatch and work order processes.

Intermec CN3 Handheld PDA with Card Reader



MobileDataforce is testing a new Intemec CN3 handheld PDA with an attached card reader for one of our clients. It feels nice and balanced in my hand and seems to be a very viable hardware solution for our clients.

Our client wants to perform inspections out-of-doors with this windows mobile device and also charge for services, process a credit or debit card transaction and print invoices and receipts from a mobile printer.

VIN Decoding with the Socket SoMo Handheld PDA & Socket Scanner on GM Automobiles

MobileDataforce is involved with a lot of mobile software project's in the automotive industry. Paintless Dent Removal, windshield repair, automobile bumper repair, upholstery repair, etc. Many of these projects we work on use the ability to scan the barcode VIN (vehicle identification number) on the automobile. Scanning the VIN enables you to quickly pull up all the relevant data on the car and to uniquely identify the car you are servicing.

Yesterday we tried to use the new Socket Pocket PC with an add-on Socket barcode scanner to read the VIN on a General Motors vehicle. No luck. GM automobiles all have their VIN number with barcode on the dashboard so you must scan through the windshield. The scanner is just not bright enough to penetrate the windshield under full sun. This is not unique since about the only device we have tested that does this well in the Psion Teklogix WorkAbout Pro with a laser scanner.

In defense of the Socket SoMo - we are very impressed with the speed of this device and it's PDA capabilities. Our Product Manager uses it daily in the office.
