Google Latitude for Handheld PDAs, Smartphones and Work Orders

Google recently announced a new application in the world of cloud computing called Google Latitude. This is a very interesting application in that it allows friends to see where friends are located, or managers to see where his or her work teams, vehicles and job sites are located.

In the past, this functionality has only been available to companies for tens or hundreds of thousands of dollars (or name your currency). You could find these features on enterprise quality work order management solutions or proof-of-delivery solutions for handheld PDAs and Smartphones. Google has a way of shaking the industry up by making mobile applications free.

Today, for free, a manager can implement Google Latitude on his company issued handheld PDAs and Smartphones and see where his workers are at all times. The manager, from his desktop, can view a map of the location of all of these mobile handhelds.

In a previous article I wrote about the inefficiencies caused by a lack of management visibility and knowledge on the location of their employees, job sites and inventory. Here is an excerpt on how to waste time and money:

  1. Waste time and fuel driving back and forth to the office to pick-up and deliver new work orders, tools and parts. With the high cost of fuel, reducing driving distances is a necessity. Can you dispatch a service technician directly from their home to a nearby jobsite? Can you make sure your service technician has the most common parts in the van before they travel to the jobsite?
  2. Waste time and fuel by being unprepared for the job and driving around looking for parts. Can you reduce travel time and fuel costs by being better prepared for the job before traveling? Can you ask customers for more information on the equipment such as brand, serial number, year, location, problem etc? Can you ask the customer for a digital photo of the equipment, serial number, etc., and email it before dispatching the service technician?
  3. Sit outside of a locked and vacant location wasting time waiting for the owner to arrive. Can you set up an automated phone call to let the customer know you are on the way? This avoids showing up at a vacant house or closed business and wasting time.
  4. Send service technicians to a distant location, when another service technician is closer and available. Can you use GPS tracking on the vans to better know the location of all service technicians so you can dispatch the closest and best service technician for the job?
  5. Miss opportunities to sell more services, parts and equipment to the customer at the time of work and at the point-of-work. Can you automatically remind the service technician to promote service contracts by using a mobile handheld work order system? This will help increase service contract sales.
  6. Poor scheduling and routing. Can you schedule service contract visits based on geographic location to reduce fuel costs and wasted travel time? Can a service technician complete more service calls in a day if they are routed more efficiently?
  7. Drive large and heavy vehicles when not required. If you have a better understanding of the parts required for today’s service calls, can you take a smaller, more fuel efficient vehicle to the jobsite?
  8. Implement poor cash management and collection processes. Can you collect money, swipe credit cards and print receipts from a mobile handheld device to improve collections at the jobsite? Are you wasting time, paper and postage sending out invoices weeks after the work was completed?
  9. Too much administrative costs. Can you reduce the costs of data entry and administrative staff by automating the dispatch process by using wireless work order dispatch that is integrated directly with your work order management and accounting systems?Every company, upon self-evaluation, will be able to identify additional inefficiencies that can be corrected and reduced. Many of the costly inefficiencies can be resolved by automating and mobilizing field services business processes.
Google Latitude would allow an Operations Manager to dispatch and route his service technicians or delivery vans based upon current locations of his employees and vehicles.

Google and Cloud Computing Comes to Mobile Handheld PDAs and Smartphone Users

Google has just announced they will be offering synchronization and support for Cloud computing for mobile and wireless handheld PDAs and smartphones users including those using the:

iPhone
BlackBerry
Nokia S60
Nokia standard
Sony Ericsson
Windows Mobile

Why is this important? It demonstrates a trend that people are moving away from the view that their desktops or laptops are the center of the universe, to a view that Cloud Computing - their online Google or Yahoo Accounts are the center.

Google has now enabled synchronization directly through any wireless connection to your online account(s). Your contacts and calendars and other Google Apps no longer must be synchronized through a desktop, iTunes account or laptop. This is big news! This functionality permits the concept of a truly untethered mobile computing environment for handheld PDAs and smartphones. The home or work desktop is no longer the anchor weighing you down. You are free to move around the world and have access to your valuable content and applications.

I can't emphasize enough what a monumental change this is for mobile users. The advent of the iPhone and other convergent multi-media mobile handhelds along with synchronization to the Cloud where hundreds of Google Apps exists changes everything.

Sky Technologies have announced the launch of SkyMobile Smart Client for SAP® on Nokia Smart Phones and PDAs

Sky Technologies out of Australia seems to be spending some big money to make a push into the SAP mobile application market. In the past week I have read about their expansion to the USA with the opening of a Seattle, WA office, and the release of a new framework for mobile SAP integration. On top of all that, they state they will support the following operating systems, Windows Mobile, Blackberry platforms, iPhone and Android smart clients in 2009.


Sky Technologies has announced the released of its SkyMobile Smart Client for the Symbian OS (Series 60 3rd Edition FP1+). “This enables SAP® users to effectively deploy mobile solutions such as proof of delivery, field service and business work flow solutions onto a wide range of Symbian based handsets. This is primarily targeted at the Nokia smart phone market and is designed to be pre-cursor to the new Symbian open platform."

If Sky Technologies' information is accurate it represents tens of millions of dollars worth of investment in supporting multiple mobile device platforms and operating systems in a tough economic climate. It will be interesting to see if this shotgun approach to developing mobile software and throwing large amounts of money at growing a mobile software company in a rough market will pay off, or suffer the same results as Appforge and Dexterra.

32 Questions to Ask Before Developing a Mobile Software Application


There are a lot of complexities involved with developing an enterprise class mobile software application for use on smartphones, handheld PDAs and industrial grade and rugged handhelds. At MobileDataforce, we have developed mobile software platforms and mobile application development tools to help eliminate, or at least reduce, many of these complexities. The following list will help you understand some of the issues to be prepared for the task:


1. Do you have the resources available to:
· Collect all business and technical requirements for the application?
· Design, develop, test, deploy and support a mobile software application?
2. Do you have the time and people available to:
· Review all the possible mobile handheld computers?
· Do these people have the knowledge to support the unique buttons and hardware drivers on the handheld computer?
3. Do you have experienced mobile application designers? Mobile applications cannot be designed in the same manner as a desktop application.
4. Do you have software engineers trained and available to develop a mobile application?
5. Are you going to develop for just one kind of handheld computer or many? 9. Do you have a mobile device management system and support infrastructure in place?
10. Who will document the mobile application?
11. Who will train the mobile application users?
12. Do you have a sufficient budget to cover the immediate development effort and the next year’s support costs?
13. Is the business unit who is funding the project willing to cover the additional development costs if the project takes 50% longer than anticipated?
14. Is the IT development staff willing to dedicate personnel to this project for the entire project duration or will they be needed elsewhere?
15. Are your software developers mobile application security experts?
16. Do you have database integration experts available for this project?
17. What are the time-to-market requirements? Are you losing business or money by not having the mobile application done?
18. Who will support the mobile application after the original developers leave the company? Can you afford to cross-train a team of developers?
19. Mobile software solutions need custom business rules added. Is the framework and standardized methodology for implementing these business rules in place?
20. Which business unit will pay to update the mobile application next year when the available handheld devices require an OS upgrade and changes to the application? Is this in the business unit’s budget plans?
21. What database is integrated with the mobile software application? Is the DBA (database administrator) supportive of this integration? Will they cooperate with the project developers?
22. What synchronization technology will be used? Is that in the budget? Who will attend training classes to understand it? Are the training classes in the budget?
23. Do you know how to connect to the enterprise database remotely from the field?
24. Do you know how to develop mobile printing support using Bluetooth enabled mobile printers? Will you support just one kind of mobile printer or many different brands?
25. Do you know how to validate data and ensure data accuracy on the mobile application? Database Administrators demand this.
26. Do you know what ultra fast and ultra small relational database you will use on the handheld computer?
27. Do you need to develop your application to work on laptops, Tablet PCs and handheld computers? If so, how will you cater to these needs?
28. What connectivity options will you need to develop (i.e. Bluetooth, WiFi, GSM, cradle sync)? Do you have software developers that are proficient with all of these technologies?
29. Will you develop your own synchronization technology or buy from a vendor? Which vendor?
30. Do you know how to develop for and support hardware add-ons such as bar code scanners, RFID readers, GPS, digital cameras, and mobile printers? Do you know all the different hardware add-ons required in the field? Which brands and SDKs will you use?
31. How will you glue all these components together in your application so it all works and can be supported by the helpdesk? Who do you trust to create this enterprise application architecture?
32. How will you support different mobile devices, and different versions of mobile operating systems?

These issues must be considered in preparation for developing an enterprise class mobile application for use on mobile handheld PDAs, and also when preparing the project plan and budget. Enthusiastic software engineers with a passion for learning new mobile technologies will advocate the development of a mobile solution internally. These engineers do not always consider the necessary skills, experience, budget and time in development and support that are required.

Make More Sales by Using Mobile Handheld PDAs and Smartphones

I often talk to potential customers about the cost savings that can be achieved by mobilizing business processes and deploying them to mobile handheld PDAs or smartphones, however, for many of our customers increasing sales is also a key motivator. Let's talk about how mobile software applications on PDAs can help increase sales:
  • Mobile applications can prompt service technicians to renew service contracts
  • Mobile applications can prompt service technicians to offer additional and complimentary services. For example: Plumbers can offer to conduct a water conservation inspection in the house while they are there repairing the toilet. This is Not the Way to Mobilize Work Orders for Handheld PDAs


I was in Starbuck's on friday. I must confess this is not out of the ordinary for fridays, nor any other day, but I witnessed an event that was. Two service technicians were sitting at a table reading a work order on their mobile phone screen. This phone had about a 1" x 1" screen. They squinted at the screen and then filled our a paper work order on a clipboard. This is certainly one way of mobilize field service technicians, but I would recommend some better ways, and different mobile handheld PDAs or smartphones.


  1. Provide a service technician with a full work order on a mobile device that has a big enough screeen to read. I can still see both service technicians squinting at their tiny screens over their mochas.

  2. Don't make them rewrite the work order. Use a mobile work order software application on the handheld mobile device. Let them read the service ticket, fill it out, and sign the screen.

  3. Don't use a paper work order. Wirelessly send new and completed work orders back and forth wirelessly. There is no need for paper.

  4. Track inventory on the mobile work order application so inventory levels are automatically deducted when parts are used.

  5. Let service technicians view their schedules on the mobile device.

  6. Let service technicians view the status of ordered parts on the mobile device

  7. Track time on various projects using the mobile device. Compare actual time with estimated time.

  8. Complete job estimates on the handheld mobile devices and wirelessly send back to the office

  9. Dispatch new work orders directly to the mobile handheld device

Handheld PDAs - More than Data Collection Devices


When some people think about replacing paper forms with handheld PDAs or smartphones - they are only thinking about collecting data and sending it wirelessly back to the office. However, simply collecting, storing and moving data would be a missuse of a powerful handheld PDA or rugged handheld. A computer should compute. By that I mean - a handheld computer should analyze the data collected and take action based upon the data. Here is an example:

Your house is on fire. You can take out a handheld PDA and enter data that says, "my house is on fire," and store it as the house collaspes around you, or you can program your handheld PDA to automatically call 911, turn on the sprinklers, call your work to report you will be in late, order new carpets and cancel the evening poker game, and provide a damage estimate.

OK - so that is a silly example but the point is a handheld computer can analyze the data you enter, and be programmed to take action. Handheld computers should do the following:


  • Allow you to enter information/data

  • Store it

  • Synchronize it with a distant software application

  • Take action based upon the information

  • Alert people or other computers about the data

  • Analyze the data and make predictions

  • Activate other computer programs to take action

  • Decrease inventory numbers

  • Close work orders

  • Enter a new customer order

  • Replace inventory with a new order

  • Track packages

  • Call your customers

  • Reschedule an appointment

  • Estimate the closest service technician

  • Predict the fastest route to drive

  • Analyze the accuracy of job estimates

  • Conduct time tracking

  • Copy and send the data to multiple destination

  • Perform mathmatical computations and take action based upon the result

  • Activate mechanical equipment to take action based upon the information

  • Turn on and off electronics

Smartphones, Mobile Handheld PDAs, Location Based Mobility - Google, Starbucks & Safeway


I made an interesting observation while taking a road trip over the holidays. Mobile handheld PDAs and Google and mapping software have made it possible for businesses without obvious street front locations to become more successful. Let me explain - My wife wanted to know if there was a Starbucks location along our driving route. She googled (used as a verb) the word Starbucks on her mobile handheld PDA phone and looked for a location in one of the small rural towns we would be traveling through. She quickly found a Starbucks location inside a Safeway in Baker City, Oregon. Here is the interesting point, this Safeway was not visible from the freeway, yet Starbucks had a long line of travellers waiting for their hot drinks. Seems we were not the only travelers clever enough to use a mobile phone, Internet explorer and Google to find their favorite drink.

Again, the fact that the location was not visible from the freeway did not seem to be a problem. How might this change the economics of the retail industry? In the near future, the key to retail success may be more dependent on your ability to be found on search engines like Google and Yahoo, and less on the physical location of the retail establishment. Hummm...perhaps I should use all of my saved money and buy 1 share of Google.

Building a Small Mobile Business Using Mobile Handheld PDAs and Smartphones

New Palm Treo 500v Smartphone


Palm has released a new version of the popular Treo series Smartphone - Palm Treo 500v. It sounds like it will be available in Europe in October and available from Vodafone. It will be using Windows Mobile 6.0. I think the Palm OS may be going away soon in favor of Windows Mobile for PDAs.
The Palm Treo 500v and the Palm 750w (available in the USA from AT&T) are good examples of "convergent" devices. Devices that can handle both your work and your play. Wal-Mart and Mobile Handheld PDA Solutions - Symbol MC50


I was shopping at Wal-Mart last night. OK!!! I needed food and it was there. As I am prone to do...I stopped a Wal-Mart employee who was walking by with a Symbol MC50 handheld and asked how she was using it. She said their new system allows her to approve or disapprove any issues at the cash register while working anywhere in the building. She simply punches in here ID on the transaction in question and selects here options to approve or disapprove. It saves management the time and exercise of running from the back room to the front cash register all day long. I wonder how this anti-exercise technology effects the manager in question?
The process described above does have some interesting lessons. How often do field service technicians have questions, or need approval to purchase items for a project? Perhaps they need a part, filter, tool etc. How much time is wasted trying to track down the operations manager on the golf course just to get a simple approval. Wal-Mart provides another useful process that involves handheld computers.

In the past I have been disappointed with the lack of muscle and speed in the TDS Recon (a predecessor), and the need to add external GPS, barcode, digital camera assessories, but this new product line seems to have resolved most of those issues. I am a big fan of the rugged, easy grip, water resistant case, and I just think the Tonka Truck yellow is cool!
Many of MobileDataforce's customers work in rough and tumble environments (utilities, construction, asset tracking, inspections, environmental assessments, etc.) and a rugged handheld PDA like the Nomad is a great choice.
